- Working days & hours: HYBRID WORK - 44 hours per week between 10am-6pm (Flexible shift)
- Salary: Basic UP TO $2,800 + Yearly Bonus
JOB SCOPE:
Administrative Duties:
• Calendar Management:
o Schedule and manage director's appointments, meetings, and events.
o Coordinate with internal and external stakeholders to ensure smooth scheduling.
• Travel Arrangements:
o Book and manage travel arrangements, including flights, accommodations, and transportation.
o Handle visa applications and other travel-related paperwork.
• Correspondence:
o Manage incoming and outgoing correspondence, including emails, letters and other online communications that needs attention of the director.
o Draft and proofread documents on behalf of the director.
• Record Keeping:
o Maintain accurate and organized records of meetings, decisions, and important documents.
o Update and manage the company's database and filing system.
• Office Management:
o Oversee general office administration, including supplies, equipment, and facilities.
o Coordinate with IT support for technical issues and system maintenance.
Assistant to Director Duties:
• Project Management:
o Assist director in managing and coordinating various projects, from inception to completion.
o Track project progress, deadlines, and deliverables.
• Research and Analysis:
o Conduct research on industry trends, market analysis, and competitor activities.
o Prepare reports and presentations based on research findings.
• Event Planning and Coordination:
o Assist in planning and organizing company events, conferences, and workshops.
o Manage logistics, guest lists, and event materials.
• Financial Management:
o Assist with financial tasks, such as expense reports, budgeting, and invoice processing.
o Prepare financial reports and analysis as needed.
• Communication and Liaison:
o Act as a liaison between the director and other departments, clients, and partners.
Additional Responsibilities (if any):
• Human Resources:
o Assist with recruitment and onboarding processes.
o Handle employee relations and HR administration tasks.
• Marketing and Sales:
o Support marketing and sales initiatives, such as creating marketing materials and managing social media.
o Assist with customer inquiries and complaints.
• Legal and Compliance:
o Ensure compliance with relevant regulations and industry standards.
o Assist with legal documentation and contract management.
JOB REQUIREMENT:
• Degree in business administration, secretarial science, or related field is preferred
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Relevant experience in administration or executive support
• Sports background and knowledge especially in tennis industry is preferred
