The incumbent will provide the CEO and Board effective corporate administrative support. He/ She will be a key administrative staff, providing high-level support to the CEO and Board. The individual will manage a wide range of tasks essential to maintaining the CEO's and Board’s office administration, ensuring the smooth and efficient running of their office. This role demands excellent organizational and communication skills, as well as the ability to handle confidential information with discretion.
Key Responsibilities:
Administration:
Administer the CEO's and Board’s meetings and appointments, ensuring that staff are clearly informed of management’s intent and objectives for each meeting.
Handle confidential correspondence, emails, and phone calls, on behalf of the CEO and Board.
Prepare and review documents, reports, and presentations as required by the CEO and Board.
Meeting Coordination and Documentation:
Propose and manage agendas, take minutes, and track follow up on action items for meetings led by the CEO and the Board.
Engage Board, Management Committees and members to collate and present data for meetings.
Office Management and Communication:
Liaise with internal and external stakeholders on behalf of the CEO & Board
Coordinate matters between the CEO, the Board and the various departments within the organization.
Assist in maintaining an efficient knowledge management system.
Reporting:
Compile data to support the CEO and the Board in decision-making and strategic planning.
Prepare briefing materials for the CEO’s & Board meetings and presentations.
Managing Stakeholders:
Build and maintain professional relationships with internal teams, Board members, and external stakeholders.
Facilitate communication on behalf of the CEO and Board ensuring that requests and queries are handled efficiently.
Qualifications and Experience:
Bachelor's degree in Business Administration, or a related field, from a reputable university.
At least 2 years of experience in administration, corporate or project work
Strong organizational and time-management skills with an ability to manage multiple priorities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant office software.
Proficient in Tamil to understand our foreign staff from India
Candidates with an understanding of Hinduism will have an advantage in performing the role.
Ability to handle sensitive and confidential information with discretion.
High level of professionalism, with strong interpersonal skills and the ability to interact with stakeholders at all levels.
