We are recruiting for a full time Assistant Medical Secretary on a fixed term basis to join the Secretarial Team within the Breast Department, based at York Hospital. You will provide support to the Medical Secretaries and their Consultant Teams.

Excellent administration/secretarial skills and audio-typing experience/qualifications are required, as well as a good understanding of customer relations. You will be required to deal with queries from patients, Consultants and GPs.

You will be responsible for typing clinical and administrative letters, answering telephone enquiries and dealing with patient queries, as well as covering the Medical Secretaries during periods of absence, and multi-disciplinary team meeting work.

The successful candidates will be required to have good organisational skills, with the ability to prioritise the demands of a busy office and manage their time and workload effectively.

What Will Be Your Day to Day Tasks?

UKSV will be undergoing a lengthy process of revamping our library, this will involve moving a large amount of paper files for shredding. The tasks to be undertaken require a large amount of manual handling - working at height, lifting weight, bending, twisting, pushing heavy loaded trolleys. This role will also require the use of a computer to accurately record the movement of each paper file.

We are therefore looking for people with the following skills/attributes:

• Preferably someone with previous experience of manual labour or has completed a Manual Handling/Health & Safety course
• Good IT skills (Microsoft packages or Google Suite)
• Ability to deal with confidential information and maintain confidentiality
• Comfortable with the physical demands of a role such as lifting and standing for long periods

This is a full-time role working Mon - Fri requiring 100% office attendance and will be on a contract until end of September 2024.

Main duties for the Administrator:
* Initial point of contact for membership and business development queries
* Resolve regular or common membership inquiries
* Manage the generic membership inbox redirecting queries as appropriate
* Internally support the extensive data tasks needed to fulfil diverse departmental requests and market research
* Work with Marketing and Communications team to update member- related website pages (logos, blurb etc) and assist with member relevant social media
* Support in surveying members to understand the satisfaction levels of membership
* Support creating reports for Membership from CRM system
* Support Marketing Team with supporting member content on social media platforms

* Set up new members on CRM and managing online membership process
