The role
We are currently looking to appoint a Corporate Support Admin Assistant. The role will support the Corporate Admin Office in delivering a customer focused service and will provide admin support to all departments within the Council. To assist the development of the service to meet the business and community requirements of the Council by delivering an excellent customer service
Qualifications
- Administration Qualification (NVQ Admin Level 3 or equivalent) would be desirable
- Educated to GCSE standard ‘C’ or above (or equivalent)
Duties and responsibilities
- Undertake routine clerical and administrative support to services across the Council, maintaining a high level of discretion and confidentiality.
- Maintain and update all administrative and information systems and processes as required, including retrieving and collating information to ensure delivery of a high level administrative service.
- Operate relevant equipment and ICT packages, including updating the Council’s website.
- Communicate with customers and resolve enquiries.
- Work cooperatively with other officers of the Council to ensure a fully integrated service for our customers.
- Collect and distribute incoming mail and prepare and despatch outgoing mail as appropriate.
- Process applications received by the Council and process associated invoices and manual and electronic payments.
- Make room bookings for internal and external clients, in all Council buildings, to include arrangements for catering provisions and refreshments and assist with corporate events.
- Record customer complaints, compliments and enquiries accurately, liaising with appropriate colleagues where action is required.
- Contribute to improving and developing administrative systems and processes.
- Carry out any other duties as directed which may from time to time be required.
Person Specification
- Experience working with administrative systems and procedures in a busy office environment
- Experience of dealing with members of the public in relation to a variety of issues
- Experience of responding effectively to telephone and email enquiries
- Experience of inputting data accurately and with attention to detail
- Ability to communicate confidently with people at all levels, providing support and developing co-operative working relationships
- Excellent IT skills, particularly regarding the use of Microsoft Office
- Ability to work on own initiative and manage own workload with minimum supervision
- Ability to receive and follow instructions
- Excellent written and verbal communication skills
- Ability to accurately record, process and receipt incoming payments
- Ability to undertake a wide range of administrative tasks
- An understanding of excellent customer care standards
- Ability to work successfully and flexibly as part of a team
- Ability to deal with confidential/sensitive issues
- Ability to work under pressure
- Ability and willingness to demonstrate the council’s values and behaviours
