Job Description
To ensure the effective operation of the admin, clerical and word processing functions within the Administration Team supporting Building Standards and Development Management and provide support and advice to management and administrative staff in relation to the specific tasks detailed below.
Responsibilities
Ensure the effective supervision of the Administration Team.
In consultation with Administration Officer, develop, maintain and review administrative procedures and functions within the Administration Team.
Provide reports and advice on the running of the Administration Team as requested by the Administration Officer and Senior Management.
Transcribe and assemble papers and reports for Council and various Committee, as required.
Ensure that Health & Safety procedures are complied with.
Deputise for the Administration Officer in his/her absence.
Participate in the Council's Employee Review and Development Programme.
Contributing to the effectiveness of the Service.
The Individual
Previous experience in a busy office environment in a clerical/administrative role using relevant technology e.g. photocopier, E-mail, Intra/Internet
Experience in Microsoft Office
Educated to HNC level or equivalent *
Ability to use initiative when required
Proven ability to communicate effectively, both verbally and in written form
Strong customer care skills and focus
Self-confidence
Self motivated
Ability to motivate and develop staff
Ability to develop and implement procedures
Ability to monitor team performance & take correctives actions, where necessary
Demonstrate ability in relation to accuracy and attention to detail
Effective organisational skills including time management
Ability to prioritise workload
Ability to communicate with a wide range of people both internally and externally who have different levels of understanding about the service provided
Understanding of and ability to demonstrate key interpersonal skills, both on the telephone and face to face

Ability to relate well with all levels of staff
Willingness to accept direction/delegation
Understanding of importance of effective team working
Appreciation, acceptance of and a commitment to the importance of confidentiality

Starting Salary: £24,429.60
£12.96 per hour
36.25 hours per week
