Roles & Responsibilities:
- Provide support to the superintendent in the planning, execution, and finalization of dry dock and repair projects, and attend the project site as required.
- Assist the superintendent with the preparation of the OPEX budget.
- Coordinate and arrange service engineers for boarding operations.
- Review, update, and prepare vessel shareholder presentations for timely submission.
- Maintain records of fleet service arrangements and End of Month (EOM) reports, including technical bulletins from manufacturers.
- Prepare and complete monthly post-meeting reports for Charterers/Fleet.
- Administer the disbursement account, ensuring line items and account codes are accurately detailed.
- Review Management Meeting minutes and provide a summary to the superintendent.
- Distribute monthly Class status reports to vessels, including details on expiring certificates.
- Assist with tasks related to EU ETS, EUMRV, and IMO DCS compliance.
- Support the review and processing of PAL occurrences as guided by the Fleet Manager, and help the superintendent close occurrences using Tableau data.
- Appoint Agents following the superintendent's instructions.
- Handle any other required documentation and filing tasks as assigned by the team.
- Assist the superintendent with Guarantee claims management.
- Support both internal and external Survey and Audit Requirements.
- Monitor and report progress on the Teams' "Management of Change" initiatives.
- Review and manage fleet weekly operational data and monthly KPIs, ensuring that the fleet team stays informed.
- Create and finalize presentations for Charterers/Owners as needed by the Fleet team.
Requirements:
- Bachelor’s Degree (preferably in ship management, maritime operations, or a related science discipline).
- Training in Secretarial skills.
- Excellent written and verbal communication abilities.
