About the Opportunity:
Brown University’s School of Professional Studies (SPS) brings a Brown education to new audiences of learners: those focused on development of skills and a breadth of knowledge necessary for professional success and leadership. We leverage Brown’s intellectual centers of excellence, rigorous teaching, and developmental approach to learning in a range of programs, including serving students outside of traditional degree programs. We partner with Brown departments, centers, institutes, and schools to develop degree and non-degree programs, and to support the recruitment, retention, and placement success of master’s students, including traditional, non-traditional, and professional students.
Responsibilities:
The Administrative Coordinator is responsible for administrative support for the School of Professional Studies. The Administrative Coordinator has a comprehensive understanding of all Human Resources-related processes and is responsible for performing all HR-related administrative functions and maintaining records for the department. This position is assigned the Workday roles of HR Coordinator, Absence Partner and has knowledge of Brown University financial transaction processes and policies.The position is responsible for the application and oversight of daily HR business processes, and serves as a resource to the rest of the staff. This includes coordinating and managing all open searches and hiring as well as coordinating the Conflict of Interest disclosures, ensuring performance reviews are completed, and supporting the salary increase process. The Administrative Coordinator manages the reception area of the School, staffing the front desk several days per week, and provides administrative support to the Deputy Dean, Associate Deans, and other Directors as needed. This position will have knowledge of HR and Payroll policies and functions as well as knowledge of the Workday system and its functional requirements. This position will work closely with colleagues in University Human Resources as well as Provost’s Office HR staff.
This position will work with the Administrative and Project Manager to ensure that the building operations for the School are well-maintained and supported. They are charged with maintenance of building access for the School. This position is also responsible for supply ordering and inventory maintenance for the School.
Job Qualifications:
Education and Experience
Associate's degree a minimum of 2 years of related experience, or the equivalent combination of education and experience.
Prior experience in the human resource space is preferred
Job Competencies
Excellent communication skills, including presentation, email, and phone as well as ability to adhere to confidentiality requirements.
Outstanding organizational and problem-solving skills with strong attention to detail in complex and sometimes stressful situations.
Team-oriented and collaborative
Superior computing abilities including Microsoft Office Suite, Google Apps for Education, spreadsheets, database and basic technology troubleshooting.
Strong calendar and meeting management skills.
Ability to perform and manage project details under tight deadlines, including multi-tasking between projects with differing or competing timelines.
Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
Demonstrated high level of discretion, confidentiality, attention to detail, and the ability to take initiative in problem solving.
