Key Role

Key Responsibilities:

(i) Manage Front Office Operations

To support the Executive Director in matters relating to corporate governance and risk reporting, in ensuring compliance with legal and regulatory requirements, and in facilitating communication with the Board of Directors, National Committees and Members.

• Ensure that all fixtures, equipment and machinery in the kitchen are properly allocated.

To be responsible for planning, developing new room sales business while maintaining and servicing. existing accounts.

Responsibilities

· To be responsible for securing rooms sales from corporations, travel agencies and leisure markets.

· To assist General Manager and DOS in planning and formulating sales strategies for the rooms department.

· To conduct daily sales calls (about 4-6) and visit potential clients to promote and sell the guest rooms as well as to secure tour group reservations for meal periods at the coffee house.

· To liaise closely with the Front Office, Reservations and Housekeeping to up sell whenever possible and to ensure effective management of room inventory, ensure cleanliness and comfort of the rooms and for any other matters pertaining to the needs and requirements of the customers.

· To prepare proposals, contracts and confirmation letters, monthly rooms Sales Forecast and revenue and other correspondences and forms required to ensure smooth operations of all the department.

Responsible for safety and security of the guests and employees of YWCA Fort Canning and all properties there-in. Guard all entrances to ensure that no unauthorized persons are permitted to enter YWCA Fort Canning. Assists in the detention of person/s found committing criminal offences.

• Safeguard the property of guests, employees and premises from theft, vandalism, arson and other criminal acts, and take appropriate actions against any person/s doing so.
• Make regular rounds of all corridors and areas in YWCA Fort Canning.

• Record all unusual incidents and report to the Security Manager without delay.

· Burnish and remove stain from all silver/copperwares.

· Empty the garbage bins, bottles and boxes from the kitchen.

· Clean the heating cabinets and trolleys.

· Prepares the utensils needed for functions, including setting and clearing of tables before and after functions.

· Wash the dishes during and after the functions

· Clear the crush-ice and water after lunch/dinner from the buffet counter daily.

· Drains away the water from bain-marie for cleaning, refilling water above the clement in buffet counter.

· Stores all equipment in the right place after each function.

· Arranges the silver and glassware and mop the store room.

You will lead a team in providing quality maintenance services and safety for the YWCA Fort Canning. Key Responsibilities

Maintenance

· Plan, manage and monitor to ensure that preventive maintenance is carried out to specifications with compliance to regulatory requirements.

· Ensure a master schedule for maintenance and replacement of equipment and systems are in place and adhered to.

· Responsible for the routine inspection on building maintenance services and safety including all operating equipment and installations and inventory.

Fire Safety

· Responsible to formulate Fire Emergency plans and procedures for YWCA Fort Canning.

· Responsible to conduct routine checks on and remove or cause to remove any fire hazard that is found in the premise.

· Oversee the maintenance of the fire safety protection systems.

· Educate the guests, tenants and staff in establishing a safe workplace environment.

· Train the staff and tenants in basic fire-fighting skills and rescue.

· Conduct the fire drills exercise and evaluate the evacuation procedures.

· Supervise the operation of the Fire Command Centre.

· Submit annual reports to the General Manager on the fire safety matters of the premise.

· Must be familiar with the various regulations of the Singapore Civil Defense Force and the Ministry of Manpower regarding applications, submission processes and enforcement matter.

Requirements

· Minimum 10 years of relevant work experience of which a minimum 5 years of managerial experience.

· Possess a degree in Estates Management, Building or related disciplines.

· Qualified Fire Safety Manager registered and certified by SCDF will be an added advantage.

· Proficient in Microsoft Office applications.

Role

To be responsible for establishing new business in weddings in order to produce food and beverage, wedding functions and overnight room sales.

Responsibilities

1. To be responsible for securing banquet revenue from weddings as well as assisting in the general management of the wedding events.

2. To solicit new business through proactive selling.

3. To develop target lists and action plans for solicitation.

4. To conduct outside sales calls, promote YFC as a wedding venue, participate in wedding tradeshows and review competition.

5. To develop and conduct wedding presentations to prospective clients.

6. To coordinate and conduct hotel tours with potential clients.

7. To prepare information for, meet with, and entertain clients as deemed appropriate for maintaining client relationship.

8. To reserve venues for ceremonies and receptions.

9. To advise couples on themes, floral and other decorations for wedding parties.

10. To arrange for or recommend providers of food, decorations, photography, video recording, entertainment and other services and items for wedding and reception.

11. To order and deliver invitations to guests.

12. To facilitate wedding rehearsals.

13. To oversee placement of seating, tables, floral arrangements, cake, food and other items

14. To prepare proposal, contracts and confirmation letters, monthly wedding Sales Forecast and revenue and other correspondences and forms required to ensure smooth operations of all the department.

15. To achieve revenue goals for wedding functions and banquets.

16. To attend the monthly Sales Meeting to present his monthly sales report and provides feedback on the market situation and competitors’ analysis and contributes ideas to improve business and to achieve his gazetted profits in his area of responsibility.

17. To follow up with the customers to obtain feedback of the service rendered and conducts post mortem sessions when necessary with the operations personnel to minimise guests' complaint and regularly meet with the F&B and Banquet personnel to explore avenues to improve the wedding sales.

Requirements
