Job Description
You will be part of a fast-moving team and will support the team in the following ways:
- Perform full spectrum of administrative and secretarial duties to ensure smooth running of training courses, include handling enquiries, record keeping, documents management, and others
- Produce documents, reports, presentations and collaterals that support the complete organisation of training courses
- Provide support in searching and following up with action on training courses –triggering follow-up action, getting responses
- Encourage learners to put into practice the knowledge and skills gained from the programme, share and document their sharing of the actual real-life experiences for cross-learning and marketing purposes
- Organise meetings and ensure that the meetings are well-organised, include preparing snacks and beverages and setup of the facility
- Maintain the office supplies, including stationary, equipment, pantry, etc, are always at the sufficient level and ensure the working environment is proper, clean, neat and enjoyable by all stakeholders
- Provide assistance to management team in office administration matters, including leave management, claim preparation and submission and project matters.
- Build and maintain mutually supportive relationship with stakeholders
- Perform any other ad-hoc tasks(s) assigned
Person specification
- Educated to diploma or higher level
- Exceptional interpersonal and communication skills, to enable professional and prompt interaction with a wide range of contacts, both internal and external customers
- Ability to organise and plan own work
- Excellent attention to detail, with the ability to maintain a high level of accuracy
- A flexible, pro-active approach to work including the ability to prioritise
- Ability to work on own initiative
- Ability to deal with sensitive information with discretion and to maintain confidentiality
- Proficient in using Office 365 applications including MS Word, PowerPoint, Excel and Outlook
- Comfortable with taking photos and videos with mobile device and able to do basic editing with preferred applications/software
- Equip with basic skills in designing using Canva or any preferred applications/ software
