This is a Full Time and Hybrid WFH Position (Average 3 to 4 days WFH / Return to office when needed or for Client Meetings etc)

Roles and Responsibilities In General

2. Pricing for Quotations and Tender submission preparations and Invoicing

1. Engaging Potential Client Enquiries

• Learning and familiarizing with Company’s products and services is critical.
• Monitor and respond to customer enquiries
• Engage customers (online meetings, calls, and face to face), to understand their needs, and draw up relevant past samples to present, demo and ideate with clients.
• Organize and curate portfolios decks and samples to clients
• Convey clear and meaningful requirements back to the production teams for evaluation.
• Ability to ideate and create client proposal decks is a bonus

2. Pricing for Quotations and Tender Preparation Submissions

• Calculate pricings, prepare and send timely project quotations to clients, ensuring clarity and alignment with project scope (hence business acumen is critical)
• Identifies and onboards freelancers or vendors when additional resources are required for projects
• Oversees and manages tender submissions to various job-bidding platforms such as Gebiz, Sesami, and Tenderboard etc
• Maintains record of incoming inquiries and values of quotations and awarded jobs
• Invoicing upon project completion

We are looking for an Admin Assistant to join us.

Past experience in operational-finance / accounts duties knowledge required

Flexi hours and Hybrid Work From Home is available once clarity and proficiency of job is achieved.

Typical workday effort required is 2 to 4 hours per day.

(flexi: need not be strictly 4hr morning or afternoon, as long as timely replies on email and instant messaging)

5 day work week

Jobscope:

Most of these tasks can be done WFH / remotely and will be allowed to, once proficiency is met, but there will be adhoc times when you will need to physically come to office to assist in person.

• Handle incoming calls and emails and snail mail.
• Monthly preparation of internal management accounts
• Double checking of Overseas Branch and Finance Dept's online bank preparation of Funds Transfers, Salaries, CPFs, Vendor/Rent payments.
• Bank Reconciliation
• Checking of online portals (Gebiz / Sesami / Tenderboard) for project opportunities and uploading submissions when required.
• E-documents and paper document filings (receipts, invoices, quotes, staff HR documents etc)
• Preparation of documents (receipts, invoices, quotes, staff HR documents etc)
• Issue Quotes and Invoice and keeping record of them
• Record of Staff Leaves and MC via Singroll online platform
• General office upkeep (purchasing supplies, liaising with landlord, liaising with cleaner etc)
• Liaising with Utilities/Service provider/Web services when needed (eg, when Internet is down)
• Maintaining various online accounts (ie, keeping track of due dates, subscription renewals, account details etc of various online accounts for software and services)
• Banking in / collection of Cheques
• Liasing with Overseas Branch office for sending/receive of various documents for signatures
• Sourcing and collating for quotes for various products and services when required
• liasing with freelancers for borrowing and returning equipment
• Other ad-hoc administrative work

Skills Required

- CRITICAL REQUIREMENT:

-Must have background and understand 3D Interactive Graphics / 3D Animation

and/or

- Elaborate in cover letter of your application that you have the ability to learn new industry knowledge

- Must be able to demo AR / VR / Interactive projects to client.

- Good in English and communication skills and ability to speak and present soultions to clients based

on understanding of the technology and platforms we use.

- Must have Business Acumen

- Independent work attitude but with ability to keep team abreast of issues.

- ability to put together graphically presentable slides using Google Workspace suite of tools

Part Time / Work from Home

This position is Part Time as it does not typically require full 8 hour days;

The range of hours involved per day range from below 1 hour to 4hrs+ a day on average.

A full work from home is permissable, as long as there is timely response via chat apps / emails.

When required though there will be face to face meetings / demonstations / presentations with clients, and transport claims will be provided.
