Job Description:
1. Administrative Support:
• Maintain workshop records, including vehicle maintenance logs and inventory.
• Coordinate vehicle repairs and servicing appointments.
• Manage workshop documentation, such as work orders and invoices.
• Communicate with drivers, mechanics, and other workshop staff.
• Manage office supplies inventory and employee records.
• Arrange yearly renewal of ISO & OHSAS certifications.
2. Reception and Front Desk Duties:
• Greet visitors and direct them appropriately.
• Answer and direct incoming phone calls.
• Manage incoming and outgoing mail.
3. Facility Management:
• Coordinate maintenance and repairs with building management.
• Monitor office equipment and arrange servicing.
4. Purchasing:
• Source and procure automotive spare parts, tools, and supplies.
• Obtain price quotations and negotiate terms with suppliers.
• Place purchase orders and monitor inventory levels.
• Maintain supplier relationships and evaluate performance.
5. Financial Management:
• Monitor workshop expenses and maintain purchase records.
• Assist in budget planning and cost control measures.
• Coordinate with finance for invoice processing and payment reconciliation.
Qualifications:
• Proven experience in administrative roles, preferably in a workshop or automotive environment.
• Strong organizational and multitasking skills, with attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office applications and inventory management software.
• Knowledge of automotive parts and supplies procurement processes is preferred.
• Ability to work independently and collaborate effectively within a team environment.
• High level of integrity and professionalism.
