Job Title: Project Manager (Oracle Fusion)

Role Purpose:
The Project Manager will be responsible for leading the successful implementation of Oracle Fusion, initially focusing on the HR, payroll, recruiting and expenses modules, while also driving significant organisational transformation. The role involves managing the relationship with the appointed Systems Integrator (SI) and ensuring that the transformation brought by Oracle Fusion is aligned with the broader business objectives, delivering high-value change across the organisation. The Project Manager will oversee all aspects of the implementation, including planning, execution, stakeholder engagement, and the realisation of business benefits.
Reporting to the Head of PPM and Project SRO this role works closely with the Change Managers, the Data and Information Manager, programme and project support staff provided by the Enabling Partner or external partners.

Knowledge and Experience:

Job Role: Office Coordinator
Location: CITB, Location will be Peterborough 5 days a week
Target salary of £27,810
Ensure that reception and office management services are provided to the CITB Head Office, be the key coordinator regarding the use of our London office and assist the line manager in wider estates, facilities and fleet coordinator duties as required. This role will require you to attend the Peterborough office 5 days a week and is not suitable for Hybrid working.

• Security access management – ensure that all electronic security passes / tags are issued in line with agreed local practice / procedures. Report faults on Access Card systems in line with local SLAs. Ensure all visitors are inducted, signed into the building, and issued with visitor passes collecting on departure.
• Ensure conference facilities are clear, tidy, and well-presented ready for meetings offering technical support regarding the use of audio visual services.
• Catering – Order and receive food booked for external meetings; supplying tea/coffee and water for meetings where required.
• Supplies – within the budget controlled by the Line Manager, maintain and order appropriate levels of catering and stationary supplies in line with CITB procedures.
• General office management – Ensure that office facilities and services are managed and supported, and that maintenance and breakdown issues are identified and reported to the relevant service area in a timely fashion; monitoring service ‘tickets’ through to completion to ensure that they are resolved as quickly as possible.
• After suitable training, act as the point of contact for health and safety concerns within the two offices and be the primary Fire Marshal and First Aider for the Peterborough office following building / CITB procedures, ensuring cover is available at times of annual leave.
• Providing coordinator support to Head of Estates, Facilities and Fleet Management assisting in the wider team duties where required.

Working Hours: 35 hours Monday to Friday, hours will be agreed on a weekly basis between 7am – 7pm.

The Engagement team delivers support to CITB registered employers to engage with CITB support and products and to train and upskills their workforce. This role is focussed on making proactive contact with companies who are currently engaging with CITB, particularly micro companies.

The post holder will make contact, primarily by phone with companies, research companies to ensure we have up to date contact information and make referrals to other CITB teams to ensure customers can receive the support they need.

Responsibilities will include:

Be responsible for target driven activity that increases engagements with CITB registered employers.
Research companies using CITB systems and internet search to learn about a company prior to contact.
Manage a schedule of account contact with employers in line with business requirements.
Plan workload to ensure customers are contacted in line with team KPIs.
Ensure employers have an understanding of how CITB can support them.
Working collaboratively across CITB, making referrals and arranging support for customers from NEST Advisors, Engagement Advisors and the Levy or Grant team.
Use a sophisticated approach to understand the needs, goals and challenges of employers, and demonstrate the value that CITB can provide to them in order to set quality appointments and generate new business.
Share sales best practice, knowledge and experience with your wider team, helping to build skills and experience for team success.

Assure, through data gathering and research, the quality of the advice and wellbeing services and identify areas for development which will inform future CPD opportunities.

Job Title: Contract Delivery Manager

Location: Peterborough (Please note: work will be at an the onsite location some or all the time - up to 5 working days)

Role purpose:

The Contract Delivery Team work together in partnership with the Enabling Partner (EP) and CITB Service Leads to support and enable the delivery of CITB service objectives and sustained high levels of service through the EP contract. The Contract Delivery team are the pivotal link between the business and the supplier and are responsible for managing all elements of the contract to agreed contractual specifications and service levels. This central team are responsible for ensuring service protection, business continuity, benefits realisation, good customer service and the smooth delivery of change.

Key responsibilities and accountabilities:

1. Responsibility for the management and delivery of the EP contract for specific service areas. Full understanding and governance of the agreed contractual terms and conditions to ensure that all SLA’s, KPI’s and SPIs are respected and delivered on a monthly basis.

2. Provide CITB’s first response to escalations and incidents. Own and resolve problems or escalations in line with customer’s expectations ensuring full understanding and compliance with EP contract and consistency on advice.

3. Challenge both CITB & EP where needed and have honest, transparent conversations where delivery fails to meet expectations and obligations. Determine mitigating actions and improvement plans and ensure that these are successfully implemented and delivered within agreed timelines so expected service levels are achieved.

4. Analyse service and contract delivery qualitative and quantitative performance to provide assurance to CITB Service Leads. Identify key trends and insights as well as issues, together with actions taken and planned. Source, analyse and interpret management data and articulate findings and recommendations to Service Leads.

5. Maintain strong supplier relationship with all Service Leads and stakeholders within CITB and SSCL. Collaborate effectively with and utilise developed interpersonal skills and customer service to develop on-going relationships to support the overall successful delivery of the EP contract through the relevant services.

6. Work with the relevant CITB Service Leads understanding the service vision and drive continuous improvement of the service delivery through the EP contract to meet customer needs.

7. Effectively communicate and champion the vision and benefits of the EP contract, aligned to the aims and objectives of CITB; ensure that this strategy and ways of working to support this strategy are understood throughout CITB.

8. Responsible for the Governance of the EP contract, identifying gaps and developing appropriate training or action plans to mitigate. Improve knowledge across the CITB and EP teams to ensure a consistent and aligned interpretation of service delivery.

9. Understands & reviews business requests for EP service enhancements or change requests and undertakes cost evaluation, business need and prioritisation

10. Set EP service level and cost-based agreement on understanding of the benchmark service level and cost for service in the industry

11. Understand and support business continuity through the EP contract, including risk and recovery plans to be able to effectively support the Service Leads in the event of an incident.
