Responsibilities:
A. Customer Service
1. Process Customer Orders
- Prepare sales order, purchase order and delivery order.
- Request for product samples.
2. Follow up with customer on order forecast/update delivery status
- Tracking document, sales report (CS Verification).
3. Handle customer enquiries/feedback (via email, attend to phone calls).
B. Shipping and Logistics
1. Shipping arrangements
- Prepare container cubing list.
- Liaise with forwarders for booking of continers and trucking arrangements.
- Ensure shipping documents are complete (from affiliates/working partner).
- Prepare shipping documents.
- Assist in cost control: freight rates comparison and provide monthly updates to management.
- Negotiate with forwarders to get the best rates.
2. Delivery arrangements
- Coordinate with working partners on delivery arrangements.
- Check delivery schedule to ensure delivery is on time.
- Understand transportation cost and plan schedule to maximize profit.
3. Inventory planning and forecast.
C. Sales/Accounts Support
1. Billing - prepare invoice, prepare documents for submission to Accounts Dept.
2. Prepare purchase invoice, A/P and A/R.
3. Prepare RFQ and sales quotations.
4. Prepare sales reports for sales team as needed.
5. Perform any ad-hoc duties assigned by superior/manager.
Job Requirements:
1. Autocount System: order process, accounting, inventory, generating reports such as sales report, sales by agent, monthly sales analysis and customer data history.
2. Proficient in Microsoft application.
3. Strong presentation skills and excellent communication skills in English, Chinese and Malay with both internal and external stakeholders in Southeast Asia and China.
4. Good learning agility and time management.
