Title of Position: Billing Executive

Job Description:

- Billing Management: Generate and issue invoices for both internal and external accounts within the group.

- Data Verification: Review and reconcile backend data to ensure billing accuracy.

- Payment Processing: Handle payments and maintain accurate accounts receivable records.

- Inquiry Resolution: Address and resolve billing inquiries and discrepancies promptly.

- Account Maintenance: Update and maintain customer account information as necessary.

Key Responsibilities:

• Product Knowledge & Support:
  • Understand company products and brands to assist supervisors and sales managers in developing product listings, channel strategies, and operational plans.
• Purchase Ordering & Stock Monitoring:
  • Support purchase ordering and monitor outlet-level stock, tracking the 3-month rolling forecast to maintain a healthy supply.
• Reporting & Analysis:
  • Prepare daily, weekly, and monthly progress reports on sales simulations, budget plans, and daily sales operations activities.
  • Compile and analyze monthly sales reports to assess outlet-level performance and inform future strategies.
• Coordination & Collaboration:
  • Work with retail promoter associates to manage POSM and POP requests and distribution.
  • Collaborate with the new product development team to ensure compliance with client specifications.
• Sales Materials Management:
  • Maintain and supply sales presentation materials for buyers on new product listings.
• Data Analysis:

• Administrative Duties:

Job Description

- To ensure all supplier’s invoices/packing list are being updated correctly.

- Plan, consolidate and schedule deliveries based on areas to minimize transport cost.

- Prepare delivery schedules

- Prepare Delivery Order checklist for checking and ensure all details are correct.

- Email Invoices and Delivery Order to forwarder for delivery arrangement.

- Issue outgoing declaration (OD) to forwarder for application for Customs Declaration. Check and ensure all details are correct when receive Customs declaration from forwarder before delivery to customer.

- Follow up with shipping company to return customers’ acknowledge receipt DO for filling

- Email invoices and packing lists to customers upon each delivery

The position also requires to assist on Sales Coordinator duties upon request as follows:

- Liaise with supplier/customer, prepare delivery schedules, expedite delivery and monitor overdue PO

- Plan weekly/monthly sea shipment for oversea suppliers/customers to ensure minimize the shipping cost.

- Follow up reject/shortage replacement

- Monitor inventory to minimize the stock level at all time

- Response to customer order/request.

- Prepare sales information (delivery record, costing etc.) as required by management.

Job Task 

• Approach customer, for Telco package sign up, follow up leads, follow up documentation, and assist in installation scheduling based on customer availability and needs.
