(A) JOB SUMMARY

This role will collaborate with various departments to develop and implement risk management, compliance and ESG strategies, policies and initiatives, helping the company to remain resilient and build a sustainable business.

(B) PRIMARY DUTIES & JOB RESPONSIBILITIES

Risk Management:

- Assist with the implementation and enhancement of the Enterprise Risk Management framework and risk management processes to strengthen risk management capabilities and culture across business units.

- Provide support in reporting to risk management committees, senior management, the Board and/Board Risk Committees on risk related matters, including secretariat responsibilities for risk management committees
- Conduct periodic risk assessment and update the risk register to ensure that inherent and residual risks are identified, tracked, monitored and addressed in an effective and coherent manner.

- Collect, analyse, and report on Key Risk Indicators (KRIs), working closely with relevant departments to ensure accurate records.

- Coordinate and conduct risk management related training programs to create risk awareness and enhance proficiency and knowledge in these areas including conducting risk and compliance assessment training workshops
- Assist with the development and implementation new risk management tools and system to improve effectiveness and efficiency of risk management processes

Compliance:

- Provide advisory and support to management and busines units to ensure compliance with applicable laws and regulations
- Keep abreast of market trends and applicable regulatory compliance matters including global developments which may have an impact on business activities

- Assist in the oversight of the Group's Personal Data Protection function, including updates to policies and procedures, staff training on personal data protection, oversee data protection impact assessments, work with Digital Technology department on the adequacy of system and data security controls to ensure data confidentiality is protected

- Maintain and update policies and procedures relating to compliance and governance matters such as Anti-Bribery and Corruption policy etc.

- Perform period compliance checks and assist in the investigation and follow up on compliance issues, breaches of laws & regulations, policies and code of conduct, contract management etc.

Sustainability / ESG
- Assist in the development, implementation and and continuous improvement of sustainability policies and procedures and conduct materiality assessments
- Collaborate with cross-functional teams to identify and implement ESG initiatives that support our sustainability journey and improve resource efficiency

- Provide support in reporting to risk management committees, senior management, the Board and/Board Risk Committees on sustainability/ESG related matters, including secretariat responsibilities for sustainability steering committee and sustainability taskforce

- Coordinate the production of sustainability reports, ensuring accuracy, transparency, and compliance with reporting frameworks such as the Taskforce on Climated-Related Financial Disclosures (TCFD), Global Reporting Initiative (GRI), International Sustainability Standards Board (ISSB) etc, including coordinating the external assurance process for sustainability reports, ensuring alignment with auditing standards and industry best practices.

- Identify and assess potential ESG risks and opportunities, providing recommendations for mitigation and enhancement

- Monitor, assess and report the organisation’s ESG performance, ensuring alignment with regulatory requirements and industry best practices, including collect, analyse, and report on ESG-related data, working closely with relevant departments to maintain accurate records
- Develop and deliver ESG training programs and sustainability communication efforts to enhance employees’ understanding and engagement in ESG initiatives

SECONDARY DUTIES AND RESPONSIBILITIES

- Manage and support implementation of company-wide new initiatives and projects

(C) REQUIREMENTS

- Degree or professional qualification in relevant discipline (eg. accountancy, business, sustainability, etc)

Roles & Responsibilities : -

Quality Management and Control:

• Assist professional consultant with HSA and medical-licensing-related matters and establish the operation system during the initial setup period.

• Oversee the entire packaging workshop, including specific data coding, laser printing, and cellophane wrapping of finished products.

• Manage the entire product packaging process, including the inspection of finished products and packaging materials.

• Fully responsible for Inspections and Approval of all packaging materials, comprising starting intermediate, bulk, and finished products, to align with our premium standards and high-quality specifications.

• Ensure all relevant testing are conducted and records are evaluated.

• Approve specifications, sampling instructions, test methods, and other Quality Control procedures.

• Responsible for ensuring top notch maintenance of the factory premises, and production equipment.

• Participate in internal facility inspections (internal audits) to evaluate and improve site quality systems.

• Maintain written and signed records of all audits and inspections, reporting to management as required.

• Investigate non-conformance using 8D principles of root cause analysis to deliver effective solutions via the corrective action reporting process.

• Communicate with other teams, departments, and stakeholders to align quality control processes with business objectives.

• Develop, implement & review SOPs, protocols/batch records, reports, quality and regulated records for accuracy and compliance with regulations and internal policies.

• Ensure appropriate validations are performed.

• Ensure proper initial and regular training of department personnel is being conducted and adapted as required.

• Oversee and monitor the overall Quality Management System to ensure production meets the highest standards.

• Manage and maintain quality control documentation, ensuring all necessary records and reports are accurate and up-to-date.

• Assist consultants in training operational personnel regarding basic regulatory requirements.

Summary

· Responsible for overseeing and managing customs and trade compliance within the Group's supply chain, ensuring regulatory adherence and optimizing processes for efficiency and cost-effectiveness.

· Working directly with the respective markets and business units and provides leadership to ensure compliance with all applicable laws and regulations for import/export.

This position will be directly responsible coordinating and executing strategic Customs and Trade compliance strategies. The position operates in a matrix environment across all of DKSH operating entities.

Responsibilities

• Manage DKSH's global trade compliance program in collaboration with Finance, Legal, and Internal Audit to ensure full company compliance with relevant laws and regulations, including those related to export control.
• Responsible for global alignment of, educating, training, program development, implementation, maintenance and audit of customs compliance, free trade agreements, export control, trade compliance and CTPAT.
• Global oversight of Global Trade Compliance and Brokerage/Customs Activities and interpretation of applicable regulations and meeting regulatory trade requirements.
• Work collaboratively with supply chain Leaders in the markets to ensure robust internal controls are integrated into operational processes and procedures.
• Responsible for the development, maintenance, and distribution global trade compliance (import and export related) policies, procedures, and programs to ensure compliance with all Government regulations and laws.
• Ensure processes are aligned with best practices and adhere to external regulatory developments and policy changes as well as internally driven business changes.
• Explore and identify FTA opportunities and establish operational processes to achieve the goal.
• Coordinate with Internal Audit and Group Risk to conduct import/export compliance audits. Collaborates with Supply Chain Leaders to assess risk in import and export compliance programs, ensuring adherence to policies, procedures, and legal requirements across all sites.
• Oversee Customs Brokerage agreements, formal contracts and detailed scope of work. Maintain Broker relationships.
• Identify cost savings initiatives for Customs brokerage, duty, taxes, and other trade related expenses and track progress.
• Management of Supply Chain Customs & Trade programs
• Oversight of Customs audit activity.
• Responsible for minimizing DKSH exposure to legal liabilities and avoiding penalties, fines, and supply chain delays.
• Provide leadership to implement automated solutions for trade compliance business.
• Identify and implement continuous improvement activity to automate processes and improve trade data visibility.
• Develop standardized, customs and trade specific performance measurement systems.
• Develop risk management programs to ensure continuity of supply in emergency scenarios.

Requirements

• Bachelors or Master degree in Business Administration, Supply Chain / Logistics or related field is required.
• CTPAT for custom brokerage certification or equivalent.
• Minimum 10 years’ experience in a relevant field.
• Global experience in customs and trade compliance including Asia, Europe and US.
• Experience in Supply Chain Management in a multinational or global organization preferred, along with a track record of successfully leading global customs and trade compliance function.
