Donor Management

• Strategize and develop donation requirements to meet the needs of the Centre

• Maintain the volunteer management system and time-banking portal
• Prepare and submit monthly volunteer reports

• Event Management
• Support in the planning and organizing of key centre-level events for residents and stakeholders
• Drive and ensure smooth operations of key events
• Involve in media liaison and coordination of corporate and media-related events, such as filming and interviews

Administrative and Other Work

• Support in the preparation of departmental plans, reports and related admin work
• Participate in key strategic meetings with internal and external stakeholders
• Undertake any other duties assigned by Senior Executive – CP and Head of Centre

Job Description:
As an Event Specialist, you will be the go-to expert for clients searching for the perfect event space. You will assist with venue recommendations, manage corporate accounts, coordinate event logistics, and ensure seamless execution. From sourcing suppliers for equipment rentals to hosting wedding shows, your role will be pivotal in delivering exceptional experiences for our clients.

Key Responsibilities:

• Assist clients in finding suitable venues for corporate events, weddings, and other functions.
• Manage and service existing corporate accounts, ensuring smooth booking processes and maintaining strong relationships.
• Coordinate with suppliers for event requirements, such as chair rentals, catering, AV equipment, and other meeting essentials.
• Be present on-site during events to oversee and ensure flawless execution.
• Provide tailored assistance to wedding couples, helping them select venues for Chinese, Malay, Indian, and other cultural wedding celebrations.
• Plan, organize, and host wedding shows to showcase Venuexplorer’s offerings and build relationships with clients.
• Collaborate with the marketing team to promote Venuexplorer’s services and events.
• Provide post-event support, gather client feedback, and maintain high satisfaction levels.

Requirements:

• Experience in event planning, coordination, or related roles.
• Strong knowledge of venues and event planning resources in Singapore.
• Excellent interpersonal and communication skills to build and maintain client relationships.
• Ability to manage multiple projects simultaneously and meet tight deadlines.
• Detail-oriented, organized, and solution-driven.
• Flexibility to work on-site during events, which may occasionally include weekends or evenings.
• Knowledge of cultural wedding traditions and practices is a plus.

Negotiation and activation leadership

• Work with the team lead on the negotiation strategy and go to market philosophy for the individual client
• Co-Lead annual client specific negotiations to ensure best outcome in line with or better than market / PMX benchmarking, delivering on client investment KPIs
• Ensure consistency of activation process and product across all markets
• Help drive market leading reputation for excellence for the Groupes activation capabilities, media partner relationships and value creation
• Uncover new and enhance existing JBPs for the client, including integration of Groupe strategic benefits to drive impact and a competitive advantage for the client
• Ongoing value tracking and consistent management of client KPIs, for internal and external merchandising

Client leadership

• Develop and maintain senior client contact including procurement lead
• Ensure that all client investment KPIs are exceeded
• Ensure media auditing processes are managed by the teams and attend client audit meetings
• Proactively support Client leads to manage client related activation issues when required

Internal & external relationship management

• Maintain productive working relationships and regular contact with senior media owners
• Escalation point where necessary to ensure issues are resolved in a fair and objective manner
• Work closely with Team Lead to support efficient and effective team structure and operations, and client satisfaction (indicated by client survey results) is consistently high
• Contribute and drive an investment community on the client that delivers learnings, best in market opportunities and a performance led culture
• Drive a Publicis POV and leadership on key industry topics
• Ensure that the agency’s PMX Media Partner targets are being tracked and met by client and team
• Ensure that the team are using PMX's best practice briefing and negotiation process to ensure best outcomes can be achieved for both our clients and the agency

Job Requirements:

• 12+ years experience in media
• Expert across the following Office platforms: Word, PowerPoint and Excel
• Expert on media investment tools
• Possess market and industry knowledge – historical and current
• Possess strong financial management skills and business acumen
• Confident and engaging interpersonal, presentation and communication skills, able to guide and influence senior stakeholders.
• A strong leader that is inspiring, collaborative and enjoys mentoring, motivating and developing their team

A master negotiator, able to resolve any issues in a fair and objective manner, drive maximum meaningful value for our clients whilst nurturing long-term, sustainable relationships with our media partners.

1. Manage our social media pages across all channels to establish brand identity and reputation

2. Create engaging content and social media advertisements for the target audience

3. Post content regularly on scheduled release times for publishing

4. Maintain a secure database of login credentials on all social media accounts

5. Track online traffic click-through rate and monitor, analyse user metrics and engagement

6. Work alongside peers to develop online promotion campaigns and to develop quality and engaging content

7. Ability to multitask and work on deadlines

• Generate monthly report for stakeholders

• Responsible for acknowledging messages in the HWE Facil group chat, triggering BAP

cancellations and informing HPB after working hours

Job Requirements:

• Degree in any discipline from a recognized institution are welcome

• To possess at least two to three years of relevant working experience

• Good negotiation and interpersonal skills
