PRINCIPAL DUTIES AND RESPONSIBILITIES

1. Compile and update database of lists for Exhibitor Promotion.
2. Work with Manager to liaise with suppliers to make sure all works are done. Raise ticket for payment and follow up payment schedule to suppliers.
3. Support sales team to carry on exhibitor promotion activities and materials including organizing side events, roadshows, etc.
4. Work with internal stakeholders and customers to ensure event reports are generated on a timely manner
5. Translate promotion materials from English to Vietnamese and vice versa
6. Support line manager on event marketing activities and visitor promotion programs by working closely with marketing team.
7. Set up Site office at the exhibition and manage the front desk to assist Exhibitors with any problems, provide a professional welcome for them, ensure housekeeping, manage petty cash, and assist Operations Department to do verification of orders and other on-site duties.

9. Maintain an effective and accurate filing system including archive files.

• Design, write and produce presentations, press releases, articles, journals, speeches, reports, information for the events’ related activities.
• Build positive relationship with stakeholders, media representatives & the public. Deal with and answer inquiries from the public, the press, and related organizations.

• Undertake relevant market and industry research.
• Prepare and supervise the production of promotional videos, photographs, films and multimedia programs.

• Organize promotional activities for the trade events such as press conferences, opening ceremonies, press and VIP tours. 
• Invite the media representatives to the press conferences & follow up the contents.
• Coordinate with marketing team to ensure the operation & administration of specific conferences are delivered efficiently
• Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
• Conduct pre- and post- conference evaluations and report on outcomes. Analyse feedback from speakers and delegates.
