Custody Administrative Assistant

Here at Serco we’re looking for an Administrative Assistant to join us within our Custody department team at HMP Thameside, London, Category B prison.
The main requirement of this role is to provide administrative support within a busy Custody Function at HMP Thameside. The job holder will be responsible for ensuring the safe and secure keeping of prisoners’ files and to action requests relating to prisoners’ files in a timely manner to aid effective record keeping in line with policies and procedures. This is a non-operational job with no line management responsibility and is not expected to be prisoner facing.
The job holder will be required to carry out the following:
- Undertake filing on daily basis to provide effective record keeping in line with policies
- Store and maintain the storage of records appropriately to ensure all prisoners are held and released legally
- Request and receive records from other prisons, and send on back records to requesting prisons
- Manage DPA requests by photocopying files and returning copies to the requestor
- Maintain the live filing system as well as archive/move previous years files in accordance with data protection. This includes noting when files must be destroyed and sent off site to a secure storage facility.
- Understand excel and be able to create and maintain live spreadsheets.
These duties and responsibilities are not intended to be exhaustive. The job holder is expected to accept reasonable alterations and additional tasks of a similar level in line with the business needs.
What you’ll need to do the role
This is an opportunity for an individual with previous experience of working in a related role in a similar position or organisation. They must have previous experience of working within a busy administration office. The successful postholder must have strong numeracy and literacy skills.
Additionally, they must have working knowledge of Microsoft Word and Excel Excellent organisational skills. They must be motivated and actively promote diversity and challenge discriminatory behaviour. They must have strong interpersonal and communication skills and an ability to liaise and negotiate at all levels English language qualification or equivalent.
