We are seeking a highly organized and detail-oriented individual to fill the position of Accounting & Administrative Assistant. In this role, you will be responsible for a variety of tasks, including bookkeeping, and providing administrative support to the Director.

• 5-day work week (Mon - Fri, 9.30am - 6.30pm)
• Work from home possible

Key Responsibilities:

• Maintaining full set of accounts for various companies including education and events
• Monthly and ad hoc reporting generating
• Budgets and forecasts
• Respond to emails or direct them to the appropriate staff member
• Procurement for merchandise required
• Screen and liaise with external vendors and suppliers
• Assist with scheduling meetings and appointments
• Coordinate and manage travel arrangements, including booking flights and accommodations
• Provide other administrative support to the Director as needed
• Work occasional weekends and public holidays, and travel for work when required

Requirements:

• Minimum of a diploma in accounting, business administration, or related field
• Experience in bookkeeping, accounting, or administrative roles
• Strong organisational and time-management skills, with an ability to prioritize tasks and meet deadlines
• Excellent attention to detail and accuracy in work
• Excellent communication and interpersonal skills
• Proficient in Microsoft Office and accounting software
• Able to travel for work when required (with expenses paid)
• Able to work on weekends when required
• Ability to work independently and as part of a team

Job Responsibilities

• Handle full set of accounts, including AP, AR, Fixed Assets and GL
• Ensure compliance to Finance policies and procedures
• Prepare GST returns
• Assist in Annual Budget exercise
• Monitor actual expenditure against budget
• Handle banking transactions
• Liaise with internal and external auditors and corporate secretarial agent
• Attend sub-committee and Board meetings, including writing of minutes
• Participate in ad-hoc projects

Job Requirements

• A degree in Accountancy or equivalent professional qualification
• At least 3 years of accounting experience
• Experience in social service sector would be a plus

Duties:

• Accounts Payable Review and verify invoices
• Sort, code, match invoices with relevant supporting documents and authorization
• Post invoices into Oracle Financials
• Pay suppliers in accordance with payment terms
• Verify petty cash documentation and its supporting receipts; recording the entries in Oracle system and timely reimbursement
• Reconcile creditors sub ledger to general ledger
• Reconciliation of creditor statements of account
• Maintain vendor files
• Correspond with vendors and respond to inquiries
• Provide supporting documentation for audits
• Support in the preparation of GST and withholding tax filings, provision of any supporting documentation required
• Staff expense claims are checked and complied with the standards and policies.

Requirements:

• Minimum Diploma and above.
• At least 2 years of working experience in accounting preferably in accounts payable.
• Required to be expert in Excel with Pivot, Macros knowledge and experience.
• Experience in ERP system, preferably Oracle will be an added advantage.

What to expect

As the Accounting Executive, the incumbent will provide support to the Accounts department, by ensuring that the full set of accounts are properly maintained. In addition, he/she will provide support for the month-end closing process and liaise with external auditors for the quarterly and annual audits.

You will be in charge of the following:

· Responsible for month-end closing and reconciliations

· Handle and maintain full set of accounts, which include Accounts Payable (AP) and Accounts Receivable (AR) closing and reporting

· Process invoices in a timely manner and follow up with suppliers when required

· Validate with supporting documents and posting of supplier invoices

· Prepare payment voucher for invoices posted and ensure timeliness in payment

· Handle suppliers’ queries related to payables

· Process tax payments

· Monitor, clear and follow up on long outstanding balances

· Provide administrative support during budget preparation

· Participate in quarterly and annual audits

· Reconcile inventories with third party warehouse system

· Timely preparation and submission of GST returns, cash flow forecast and income tax

· Processing of shipments in SAP shipments module

· Any other ad-hoc tasks assigned by the supervisor

Who we are looking for

· Diploma / Degree in Accountancy or an equivalent professional certification

· Fresh graduates are welcome

· Minimum 2 years of relevant working experience

· Good knowledge of SAP software

· Proficient in Microsoft Office (Excel, Word, and PowerPoint)

· Strong attention to details, accuracy in data entry and financial recordkeeping

· Able to work independently

· Good time management skills and ability to meet assigned deadlines in a fast pace working environment
