The incumbent reports to the Chief of the service. Participates actively in the management of the office of the Section Chief Nurse by performing a wide range of administrative, analytical, and budgeting functions using office automation systems, which generate output of reports, database management, word processing, administrative forms, and organizing logistics for meetings and programs.

• Designs, organizes and maintains data bases and filing systems.
• Compiles and prepares weekly, monthly, quarterly and annual schedules and reports related to the operations of the Program(s).

Work will primarily encompass providing administrative support to an assigned clinic, however, other assignments at this level may include, but may not be limited to providing staff coverage to other primary care and specialty care clinics.

Major duties:

• Coordinates with the patient care team to review clinic utilization to ensure the clinic set-up is closely monitored to effectively support the needs of the clinic and to make any necessary adjustments.
• Reviews and follows up on open encounters and return to clinic orders daily.
• Develops and maintains effective and efficient communication with the patients, including facilitating/processing secure messages through My HealtheVet (MHV), with the interdisciplinary team, with VA medical centers, and other agencies.
• Processes delinquent recall reminders and contacts patients for scheduling into the primary care, specialty, and mental health clinics.
• Utilizes computerized programs and databases such as VS GUI, Scheduling Manger, Insurance Capture Buffer (ICB), Veterans Health Information and Technology Architecture (VistA), VetLink, Computerized Patient Record System (CPRS) and other enterprise systems to enter, modify and retrieve sensitive information and various data into or from electronic medical records, scheduling systems and/or reporting formats.
• Explains the VA's mandate to collect insurance information to veterans, their families, and other eligible patients.
• Screens/receives phone calls in a courteous and timely manner, determines the nature of request and provides the information desired using privacy rules and established clinic processes.
• Responsible for following through on providers' orders including scheduling appropriate consultation requests, labs, x-rays and various other specialty clinics available at the CBOC.

The Urology Physician Assistant (PA) is responsible for the care and administrative needs of the Surgery Service patient in both the inpatient and outpatient setting of the urology section. The PA also functions as a coordinator between the attending physician and the other team members to include Nursing, Social Work, Rehabilitative Services and Dietician. The PA will also be directly responsible to the Urologists for all clinical and administrative duties.

Duties include but are not limited to:

• Provide medical and surgical care for both inpatients and outpatients in the urology section. These patients often have concomitant medical problems and are multi-symptomatic. The PA shall coordinate patient care programs based upon the admitting chief complaint and shall perform the following duties:
  • Admission History and physicals, admission orders, aftercare plans and discharge summaries under direction of Urologist.
    Orders and interprets labs, tests, and diagnostic studies.
  • Prescribes pharmacologic and non-pharmacologic interventions
  • Provide medical education /counseling of patients and their families.
  • Demonstrate the ability to diagnose and treat urology patients seen in consultation with other health care providers.
  • Initiates referrals and consults to specialty services.
  • Promote patient care programs for urology patient and periodically updates them based upon current and new concepts, as well as findings of the attending physician.
  • Integrates the activities of the urology service with other patient care programs at the facility.
  • Evaluates outside consultations presenting t the urology section and determines the appropriate disposition, routing, and urgency of those consults.
  • Develops and implements in-service training for primary care providers in regards- to the subspecialty field of Urology surgery.

Duties:

• Monitors (BMS) for bed readiness relative to patient tracking through-put information on the computerized bed board. Monitoring allows the (BFC) to know bed capacity and available bed locations for making informed decisions about the hospital's census based on EMS bed cleaning data. (BMS) streamlines bed turnover, improves through-put, and provides a clear picture of the hospital's capacity in real time.
• Ensures that bed turnover (the time a bed is vacated) to the time it is cleaned, and pull times (the time between a patient being admitted to the hospital and reaching a bed).
• Communicates EMS work in progress for knowing capacity constraints that lead to increased diversions, longer waiting periods, as well as holds and other throughput challenges.
• Monitors the timeliness of notification of patient discharges, timely turn around of discharge beds, timely assignment of ready beds, and timely movement of patients to ready beds for allowing the (BFC) to coordinate patient through-put.
• Dispatches to the EMS Management the need and type of cleaning for a bed upon notification that discharge has occurred.
• Collaborates with Clinical Staff for knowing the order of priority of discharge and transfer beds, ensures that staggered shift start and stop times as well as staggered shifts are in place based on peak times for discharges resulting in a dirty bed surge.
• Changes status of all bed icons relative to EMS once beds are cleaned and communicated to EMS Management.
• Monitors (BMS) computerized bed boards for identifying the validity of service icons, knows the current status of the beds being cleaned and timeline for new patient admission.

The Physician Assistant in Orthopedics, in collaboration with the interprofessional team, manages the care of Veterans in the Orthopedics Service. This includes evaluation of new orthopedic consults, pre- and post-operative outpatient management, and non-operative management of orthopedic issues. The PA possesses clinical expertise in the assessment and management of fractures, degenerative joint disease, injuries within the realm of sport medicine as well as hand trauma and other pathology. The PA's primary practice setting will be in a face-to-face clinic at the Rockford Community Based Outpatient Clinic (CBOC). The PA will also conduct telemedicine visits. Other duties may also be assigned to assist the facility as determined by the Specialty Section Chief and/or Administrative Supervisor.
