Performs a combination of routine, multiple and varying administrative tasks in support of agency administrative programs, policies, and procedures. Assists managers, support staff and other employees in day-to-day operations.

Applies experience and advanced knowledge to plan and perform administrative assignments with a broad understanding of how administrative assignments contribute to organizational activities. Specialized assignments may include the following: Initiates requests for personnel actions and other documents required to fill vacancies and effect other personnel actions (promotions, details, resignations, certification, etc.). Performs time and attendance duties for large groups of employees with varying and/or frequently changing working times, shifts, schedules, premium pay entitlements, pay systems, position tenure, and/or collective bargaining unit differences. Utilizes travel system to initiate, complete, review, and validate travel authorizations and vouchers to ensure compliance with governing guidelines. Ensures compliance with facility, regional, and service area facility security guidelines and policies governing the issuance of keys, parking decals, identification badges, proximity cards, and other access credentials for FAA employees, contract employees and visitors. Independently uses a variety of software to prepare narrative and statistical reports, graphs, and charts. Accomplishes work under the general supervision of a manager and minimal oversight of a team lead or higher level professional.

Demonstrates considerable independence in planning time, and coordinates only as needed with a manager or more experienced employee to prioritize assignments and use assigned resources.

Established policies/procedures provide guidance for most assignments but allow some discretion for the employee to select the most appropriate approaches or to recommend new approaches. • Administer Special Park Uses permits
• Educate, interpret, and inform visitors about resources, conservation, laws, and regulations
• Coordinate, track, plan, and facilitate entire permitting process for park visitors and staff, including the billing and payment process, and field monitoring for special use permit activities.

The Program Assistant serves as the resource person for intermediate level data analysis and administrative leadership and coordination in the development, implementation, evaluation, interpretation, revision, and when necessary, corrective actions for many applicable administrative functions, activities, operations and services for the Office of Chief of Staff.

Major duties include but are not limited to:

• Interacts with clinical leadership and their administrative staff in support of clinical committees and programs and tracks follow up actions and reporting materials that are directly under the Deputy Chief of Staff.

• Responsible for systems maintenance of annual performance appraisals for all GS employees, Title 38 proficiency evaluation cycle, and Executive Career Field employees.
• Performs cost analysis of expenditures and advises the SNCOS and the COS for the special projects and programs for any additional funding requirement.
• Monitors consultant costs and utilization for all clinical services in coordination with Fiscal Service.
• Coordinates with clinical service administrative staff and HR to ensure annual consultant agreements are in place and the utilization of consultants meet within the salary agreement.

The incumbent serves as an Advanced Medical Support Assistant (AMSA) in the Hampton VA Healthcare System. The incumbent performs duties related to the receipt intake and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications as well as numerous VISTA, VSE, CPRS, VSSC applications.

• The Advanced MSA is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Prepares and implements program options for children and youth with special requirements. Cares for children and youth with special needs as directed by the supervisor.

Demonstrates, instructs, leads, and facilitates planned and spontaneous program activities.

Role models developmentally appropriate practice and classroom or activity area management techniques.

Promotes and models safety, fitness, health, and nutrition practices.

Indoor and Outdoor Environment

• Works under the written and verbal direction of the supervisor, who provides guidance on scope of assignments and assistance on the more complex, non-routine problems encountered.
