Job description
This role is essential in ensuring the smooth and efficient movement of goods through our supply chain.
The ideal candidate will have experience in freight management, sales and warehouse support, sourcing, supplier coordination, training, and handling of ad-hoc tasks.
Freight
1. To seek freight forwarder quotation for sea and air shipment.
2. To arrange and liaise with freight forwarder and vendors for timely pick-up of shipments.
3. To determine the volume of shipment to optimize the cost of shipping with freight forwarders.
4. Follow up with supplier and third-party supplier shipment, expedite schedule, and delay shipment.
5. Track shipment journey and communicate to respective departments on Estimated Date of Arrival of shipments.
6. Update and disseminate Notice of Arrival (NOA) of shipment with the respective retail business units.
7. Maintain an accurate and up-to-date shipments tracker.
8. Preempt and arrange custom tax payments with the finance department.
9. Work with insurers on product assessment and claims.
10. Generate weekly and monthly freight shipment reports.
Sales and Warehouse Support
1. Notify sales and warehouse team of shipment arrival date.
2. Attend to enquiries from sales team on regards to lead time and product queries.
3. Liaise with sales team on export sales and prepare the necessary paperwork.
4. Collaborate with the warehouse team on the shipment arrival and arrange trucking out of container.
5. Notify and preempt the sales and warehouse team if there are any shipment delays.
Sourcing
1. Conduct competitive price checks and ensure the respective retail business units are getting a competitively priced shipment rate.
2. Align supply chain Key Performance Indicators (KPI) with freight percentage and purchase budgets that for the year.
Supplier
1. Arrange shipment pick-up with suppliers (local and overseas).
2. Manage Letter of Credit (LC) payment terms with suppliers and the finance department to ensure timely shipments
3. Issue purchase order relating to the freight invoices.
4. Prepare purchase orders and update the latest schedule in order schedule.
5. Prepare weekly and monthly payments (non-trade) weekly for approval.
Training
1. Develop training materials and work processes for the Supply Chain Management and Warehouse team.
2. Initiate and lead new projects to enhance business units.
Ad-hoc
1. Participate in stock-take and other related warehouse disposal exercise.
2. Manage System operations.
3. Any other work assigned by the immediate supervisor.
Requirements
1. Candidate must possess at least a diploma/degree in any field.
2. At least 1 Year of working experience in the related field will be an advantage.
3. Good knowledge on incoterms, taxation, import/export documents, trade compliance and inventory
system
4. Knowledgeable in import and export procedures for Air & Sea freight
5. Skilled in data analysis, task management, and generating ideas
6. Proficient in MS office – Excel/PowerPoint/Word
7. Detail-oriented and good time management
8. Team player with good communication and interpersonal skills
9. Work independently and adhere to short and tight deadlines
