KEY RESPONSIBLITIES

Office Management

• Manage & maintain upkeep of office operations, supplies, and equipment.
• Maintain accurate records and ensure procedures are adhered to the company policies
• Maintain a safe, tidy and healthy working environment
• Coordinate office move and renovation when required

Administrative Support

• Provide general administrative support to teams including but not limited to organizing meeting bookings, catering requirements, hospitality events, travel associated flights & accommodation booking, expenses management, visitors and deliveries management, and etc.
• Provide Marketing support for the operations of the company
• Updating Company website & Marketing Collateral
• Attend to phone call, leads & enquiries
• To support company in marketing related activities such as events and workshops
• Act as the organizational receptionist and receive calls and guests.
• Timely purchase orders support and payment processing follow up
• Assist with ad-hoc tasks when required

Requirements

• Diploma or equivalent
• Minimum of 3 years of experience in office administration
• Should be well-versed in overall office management, technical tools and software applications
• Strong technology skills and a proficiency in Outlook, IT skills, Teams, Excel, PowerPoint and collaboration technologies
• Proactive and problem-solving driven
• Able to work independently in a fast-paced environment
• Proficiency in Mandarin Language will be an advantage.

Main Responsibilities:

• Lead a team of logistics and operations executives
• Manage warehouse inventory and keep records of inventor.
• Order management from Order processing.
• Monitor overall shipping schedule, delivery schedule to fulfil orders committed.
• Liaise with clients and suppliers on open orders, deliveries and reschedules
• Perform Invoicing and Accounts Receivables.
• Maintain inventory and stock reconciliation.
• Extract and compile information to create report.
• Filing, Posting and Data entry in company's ERP system.
• Perform daily arrangement for delivery & customers’ collection of goods.
• Perform order processing into accounting system.
• Monitor overall shipping schedule, delivery schedule to fulfil orders committed.
• Manage and build a good relationship with 3rd party transporter to ensure on-time deliveries.
• Manage and work closely with Malaysia/Thailand/China team on the day-to-day operations on daily basis and to ensure that all requirements are met.
• Work closely with internal departments to coordinate shipment and to liaise with external parties or forwarders.
• To ensure that all inventory transactions are completed within the timeline and maintain stock accuracy.
• Coordinate the day-to-day import/export logistics operations with Malaysia/Thailand/China team and transactions documentation for freight forwarding and other related activities.
• Assist to submit GST supporting document to accounts department.
• Perform other duties as assigned by the Manager / Management.

The Finance Execuitve is reporting to the Finance Manager and will contribute towards the establishment and development of the Accounting platform for the Group. The Finance Executive will need to be adaptive at establishing and disseminating best practice accounting policies and procedures and contribute towards reviewing financial policies and procedures.

Main Responsibilities:

· Ensure monthly closing accuracy, reporting requirements and deadlines are met

· Prepare monthly management report, financial analysis and audit schedules

· Preparation/reconciliation of monthly products P&L for retail business

· Preparation of the Group consolidated financial statements

· Preparation and submission of tax matters including GST

· Verification / posting of trade invoices and preparation of related parties transaction schedules

· Ensure compliance with both US GAAP and local Accounting Standards

· Work with external auditors, resolving any accounting or tax related issues

· Provide support in scheduling of annual budget preparation and review process in line with HQ Management Group and Board schedule

· Overseas and keep track of inventory level.

· Perform other ad-hoc assignments and administrative duties as directed by the HQ Group Financial Controller

Requirements:

The individual should have the following experience:

· Degree in Accounting or equivalent

· At least 5 years of financial or accounting experience and demonstrated leadership skills

· Prior audit, retail experience and SFRS / IFRS knowledge is an advantage

· Experience in Consolidation and/or Management reporting will be highly favourable

· Ability to plan, organize a large volume of activity committed and capable of working under pressure to meet tight deadlines

· Intermediate to advanced computer software skills, including Excel and accounting systems

· Hands on experience with Yonyou ERP system and Xero will be an advantage

· Hands on, independent, self-motivated and committed with sense of urgency

· Experience working in a highly complex environment and able to undertake manual processes

· Ability to communicate effectively in English and Mandarin is a must.

Qualification : Bachelor's Degree, Post Graduate Diploma, Professional Degree

Salary range -S$3,800 - S$4,300
