The typing of correspondence, clinic letters ward rounds and reports accurately and within time limits set by departmental standards, thus requiring a high degree of keyboard skills, medical terminology and secretarial procedures. Audio/copy typing any other correspondence as required. Correspondence, letters and ward rounds can relate to all aspects of medicine and knowledge of medical terminology is necessary. This will sometimes involve typing letters of a distressing nature. Keeping consultants diary electronically and arranging meetings as and when required and ensuring your consultants is fully briefed of any upcoming commitments. Responsible for coordinating meetings for the Clinical Director. Taking minutes of departmental meetings so clear and concise communication is required. Provide secretarial support to consultant and team and the provision of general support throughout the department as and when necessary. Ensuring any urgent correspondence (i.e., patient referrals, complaints) are dealt with immediately and that where necessary liaise with the correct team to ensure the patient is contacted directly with regard to urgent clinic appointments or admissions. Ensuring that relevant action is taken with regard to patients i.e., dealing with investigation results, ensuring further investigations are requested, appointments etc Bring abnormal investigation results to the immediate attention of the relevant doctor and act upon the instructions given promptly. To work flexibly to meet the needs of the service including providing administrative support to a fixed weekly Friday 07:30 meeting Exercising judgement and tact when dealing with telephone messages, passing them on appropriately and responding to them as required. Dealing with sensitive enquiries from patients and their relatives in a sympathetic and caring manner, sometimes in distressing circumstances. This will often involve communication with general practitioners and other specialists as urgent results or changes in medication have to be relayed to the doctors/teams involved. Maintain good communication and liaison with other staff, departments and the public in a tactful manner. Liaising with key stakeholders with regard to results and correspondence needed for patients attending clinic that day. Prompt and accurate filing of correspondence and investigation results into patients notes. Retrieving case notes when requested. Track all case notes handled. Keep manager informed and any other relevant members of staff of any annual leave/study leave being taken by medical staff and adjust workload accordingly when necessary. Using Trust protocols adjust clinic times/cancel clinics as necessary regarding availability of Consultants and Junior Doctors in relation to on-call rotas and consultant holidays. To have an appreciation of prioritising tasks in order of urgency thus facilitating efficient time management. To be able to concentrate to a high level on multi-task processes/problems due to frequent interruptions, i.e., telephone calls, etc. In the absence of consultant, using initiative to answer queries, action as necessary and make notes for his/her information on his/her return. Responsible for following departmental policies and procedures. Have an understanding of the Guide to Good Record Keeping and Service Standards. Continual updating of IT skills and medical terminology. Supporting Consultants SPA time.
