Job Summary:
The Sales Support Executive plays a crucial role in providing administrative support, managing documentation, and facilitating communication with clients in support of the sale person. The ideal candidate is detail-oriented, proficient with numbers, and possesses knowledge of freight forwarding processes. Key Responsibilities:
1. Administrative Support:
• Assist the sales team in preparing quotations, proposals, and
presentations for clients.
• Maintain accurate and up-to-date records of sales activities,
including orders, contracts, and customer communications.
• Coordinate with internal departments, such as operations and
finance, to ensure seamless execution of sales processes.
2. Order Processing and Documentation:
• Process sales orders accurately and efficiently, verifying pricing, terms, and conditions.
• Prepare shipping documents, invoices, and other paperwork in
compliance with regulatory requirements.
• Organize and maintain sales documentation, ensuring
accessibility and completeness for reference.
3. Data Analysis and Reporting:
• Utilize sales databases and CRM systems to track and analyze
sales performance metrics.
• Generate reports on sales trends, customer feedback, and
market insights to support decision-making.
• Identify areas for improvement and recommend strategies to
enhance sales effectiveness.
4. Customer Communication:
• Serve as a point of contact for customer inquiries, providing
timely and accurate information on products, services, and
shipments.
• Address customer issues and concerns promptly, escalating
complex issues to the appropriate stakeholders as needed.
• Build and maintain positive relationships with clients, fostering
trust and loyalty through exceptional service.
5. Team Collaboration:
• Collaborate closely with the sales team to support their efforts
and ensure alignment with sales strategies and objectives.
• Communicate effectively with colleagues across departments to
coordinate sales activities and resolve operational issues.
• Participate in team meetings and contribute ideas for process
improvements and workflow optimization.
Qualifications:
• Tertiary Education in Business Administration, Logistics, or
related field.
• Previous experience in sales support, customer service, or
administrative roles, preferably in the freight forwarding or
logistics industry.
• Strong numerical skills and attention to detail, with the ability
to manage complex data and documentation accurately.
• Proficiency in Microsoft Office Suite, particularly Excel, for data
analysis, reporting, and document preparation.
• Excellent communication and interpersonal skills, with a
customer-focused approach and the ability to interact
effectively with internal and external stakeholders.
• Knowledge of freight forwarding processes, terminology, and
industry trends is desirable but not required.
• Strong organizational skills and the ability to multitask,
prioritize tasks, and meet deadlines in a dynamic work
environment.
