The purpose of the role is to undertake a range of administrative functions which include: sorting and distributing post, scanning and indexing correspondence, downloading from portals, and printing for our internal customers.

Key Responsibilities:

Provide generic administrative duties across the Post room, Printing and Scanning team to ensure excellent delivery of customer service.
Sort and open Royal Mail post in line with procedures ready for distribution. Complete signed for records and advise customers of their receipt.
Process correspondence/electronic communications i.e.: scanning, indexing, and importing documents and data as required for Revenues and Benefits to meet the service needs, including eClaims.
Download Planning Portal applications on a daily basis and process necessary documents ready for validation of application.
Scan and upload public comments on a daily basis in line with Council’s data protection, redacting personal and confidential information.
Scanning and indexing of complete / archived planning and building control applications.
Process prints and copier unit requests in the agreed timescales.
Daily printing of letters and invoices for all departments and processing letters produced by remote workers.
Packing large mail outs using the folding inserter equipment.
Checking outgoing mail to ensure it meets Royal Mail standards and it is addressed to a UK residence.
Frank overseas and large mail items for posting.



Qualifications:

Good standards of literacy and numeracy, including written and spoken English; and GCSE-level mathematics functions.



Skills & Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Experience of prioritising and organising work to meet deadlines with minimal supervision.
Ability to effectively communicate verbally and in writing with internal and external customers.
Experience of working in an administration environment with practices with regard to customer care.
Experience of delivering excellent customer service in the work place.
Knowledge or experience of design and print.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).

What is the Role?

The post holder will work between the Haematology Trials Unit, Late Phase Oncology Trial Unit, both based at the Churchill Hospital, and the OUH Research and Development Team. The two trial units conduct a wide spectrum of Phase I to Phase III clinical trials in cancer with the aim of transforming care of cancer patients. The post holder will be responsible to manage all the income generated from clinical trials is captured, invoiced and received and that expenditure (principally on staff costs) is monitored by Haematology trial units. The post holder will work closely with the R&D Service Manager , the data teams in both trial units, OUH R&D finance teams and the medical and nursing management of both trial units. Ensuring the financial sustainability of both trial units is critical to their success.

This job description outlines the core requirements expected of a Band 5 Business Support & Performance Officer. As such the list below is not exhaustive. 1. On a weekly basis working with the trial unit data teams to record money to be billed on each clinical trial conducted by both units, to sponsors of clinical trials. This constitutes the income of each unit.
2. Contacting trial sponsors to make sure invoices are issued promptly.
3. Checking invoices from trial sponsors to correct any irregularities in invoiced issued by trial sponsors and working with trial sponsors to resolve any queries.
4. Providing OUH Finance correct invoices for OUH finance to bill.
5. Checking with OUH Trial Finance that invoices have been paid.
6. On a monthly basis reviewing the expenditure of each unit. This will mainly consist of staff costs.
7. Provide monthly Excel spreadsheet reports of income and expenditure and providing forward yearly forecasts, to the leadership of each trial unit.
8. Provide budgets for new staff posts as they are created.
9. Liaising closely with various external and internal stakeholders e.g. researchers, NHS Departments, Commercial Companies on all issues affecting the trials portfolio as required.

Main Purpose

The school business manager (SBM) is responsible for managing the operation of the business functions of WMS, including financial management, health and safety, human resources, compliance, and administration.

They will advise on and implement the day-to-day support that enables the school to operate effectively and efficiently, and that allows other members of the leadership teams to focus on teaching and learning.

Duties and Responsibilities

Leadership

• Be responsible for line-managing site and administration support staff, including carrying out long-term resource planning and managing the end-to-end recruitment process, appraisal, and professional development
• Implement school-wide changes and allocate resources in line with school improvement plans, putting policies and procedures in place and communicating them to staff
• Take all decisions in line with the vision and values of schools and encourage others to do the same
• Implement a marketing plan for the school, which utilises the school website, signage, the prospectus, and communications with current and prospective parents

Financial Management

• Oversee the security and reconciliation of cash in hand and debtors on a day-to-day basis, ensuring money is banked, money owed is collected and clear records are kept
• Ensure value for money within procurement of goods and services in line with school policy
• Manage the school’s lettings offer
• Ensure the effective and efficient operation of the administration department, delegating tasks to finance/office staff where appropriate

Human Resources

• Maintain staff absence data
• Ensure that recruitment, appraisal, disciplinary and grievance policies are administered in accordance with employment law
• Advise on HR issues within schools and liaise with the external HR provider

Health and Safety

• With the headteachers and premises team, supervise the maintenance of the school site
• Manage the school’s compliance with health and safety regulations and put in place processes and procedures to ensure the safety of the school
• Organise health and safety training for staff

Compliance

• Manage the school’s compliance with statutory obligations and advise others on the relevant legal, regulatory, and ethical requirements
• Track all school policies and ensure they are updated in accordance with the policy review schedule

Administration

• Keep records in accordance with the school’s record retention schedule and data protection law, ensuring information security and confidentiality at all times
• Provide administrative support for the headteacher and the governing body
• Support the data protection officer with ensuring data protection compliance and helping the school community understand how to comply with data protection law

Safeguarding

The school’s business manager will be required to safeguard and promote the welfare of children and young people and follow school policies and the staff code of conduct.
