Based on the outskirts of Strathaven, our client is recruiting for a Purchase Ledger Assistant to join their team on a permanent basis. The hours of work are Monday-Friday, 8.30am-5pm. Once training has been completed, hybrid working can be utilised, with 3 days per week in the office and 2 days per week from home offered. Due to the location of the role, it is essential that candidates have access to their own transport.

Your new role
Reporting to the Manager, the Purchase Ledger Assistant will work as part of a team of 6 (& as part of a wider finance function) and undertake a range of responsibilities. Your duties will include, but will not be limited to; matching, batching and coding of invoices, reconciliations, liaising with suppliers & internal colleagues, data entry, inbox management, handling queries, setting up new supplier accounts and general associated finance administration. The IT system used is Navision.

What you'll need to succeed
Experience of purchase ledger is ideal. Training can be provided in areas in which you are less experienced. You will be a team player who can also work well from their own initiative. You must have excellent communicative ability as you will work with a range of suppliers, clients and colleagues on a daily basis and correspond with them via telephone, email and face to face.

Overview of the Role
You will provide a professional administrative service supporting the data cleansing activities of the CPS Programme for the Purchasing work stream. Working with colleagues and suppliers, you will ensure that the master data is accurate, complete and consistent to enable a seamless migration to a new ERP solution. You will have a proactive approach to problem solving, helping to resolve purchasing and invoice queries and will work with the SAP purchasing system (P2P) and other in-house procurement systems entering information and generating reports. You will be self-motivated and resourceful with excellent communication skills and the ability to work with a wide range of people and as part of a team. You will have strong numeracy and literacy and IT skills and be willing to undertake any training required that is relevant to your role.

What does the role entail?
* Resolving blocked invoice queries using SAP MRBR and ZMIR5 reporting
* Generating standard SAP reports and extracting master data
* Assisting with the correction of vendor records
* Liaising with suppliers to obtain company information to ensure the
completeness of vendor records
* Supporting the closure of completed purchase orders and identifying any
remediation required to maintain the GR/IR account
* Ensuring open purchase requisitions are approved or closed as required to maintain data quality
* Building up a network of staff contacts, liaising to discuss mutual problems and working to devise solutions which may be adopted as best practise
* Maintaining records and files to an auditable standard

Qualifications and Skills
Essential:
* Knowledge of SAP ERP System;
* Familiarity with working in a small team managing purchasing issues &
questions, working on your own initiative, good communicator and have the
ability to network across the organisation both internally and with external
suppliers;
* Accuracy of data entry into an ERP System;
* Ability to rectify master data corrections in a timely manner with an audit trail embedded;
* Good IT Skills and use of Microsoft Applications (Word, Excel, teams, MS
Office);
* Ability to maintain good working relationships both internally and externally;
* Strong analytical and problem solving skills with the ability to resolve complex queries;
* A willingness to undertake required training courses: procurement-related SAP training is mandatory.

Desirable:

This role would suit an individual who has previous experience in a support type role and has been part of a team that has provided procurement support or potentially an individual that has worked in a contract management area. Use of e procurement tender portals is an advantage, the council uses Proactis, so any experience in this system would be an advantage. Experience of procuring or managing frameworks or having a general understanding of how frameworks or dynamic purchasing systems work would be beneficial. Core office hours will need to be worked, the majority of the work will be remote with occasional office working days or meetings in Southampton Civic Centre. The contract offered is for 3 days per week, the clientis flexible and would be happy to discuss the working days, but working some days earlier in the week will be part of the requirement.

The purpose of the role is to support all areas of work within the remit of the Strategic Contract Manager by providing support to the delivery of all the strategic contract management services provided across the Council which will include, but is not limited to, the preparation of data, information and reports.

Key Responsibilities:

Effective and efficient administration of contract management activities. Liaising with all stakeholders to ensure communication and governance processes, payment, performance and benefit realisation monitoring, and the initiation of remedial/improvement activity are executed properly, enabling reporting that the corporate contracts are on track to deliver the commissioned/procured goods and services.
Add value through procurement and deliver contract compliance in all contracting activity. Support the provision, and grow the current use of fit for purpose electronic tendering systems including e-catalogues and e-auctions, and information to support high quality procurement, supplier management and category management.
Participate in ‘future thinking’ and the development of E-Systems and e- processes that will drive forward increased efficiency and greater value for money from the Council’s procurement activities.
Support contract managers across the Council in all aspects of day-to-day contract management ensuring the set up and maintenance of the administrative arrangements for effective and efficient contract management are complied with, including stakeholder communication, governance, performance monitoring arrangements, payments and file/records management.
Conduct contractual monitoring, identifying and initiating remedies for data quality issues to support the provision of assurance of service delivery in line with strategy and contract and report on compliance and delivery performance.
Maintain accurate and up to date logs of issues, risks, change controls, actions and meeting minutes, ensure that actions are followed up in a timely fashion.
Contribute to the development of contract management manuals where appropriate.
Ensure payments are accurate and reflect agreed performance/payment mechanisms.



Qualifications:

CIPS Level 4 Diploma.



Skills & Experience:

Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
2 years’ experience delivering contract management and procurement advice to internal stakeholders.
Able to monitor performance to ensure value for money is being delivered through the contracts / service level agreements, supporting effective management of the Council’s resources.
Able to monitor contractor compliance with relevant legislation, statutory duties and Council policies to manage risk appropriately.
Knowledge of professional purchasing principles, best practice approach to procurement and experience of working in multi-functional business environment.
Proven ability to plan and prioritise workload, prioritise, effectively communicate and manage expectations of the team you are supporting.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite, Adobe Pro).

Working in a clean and spacious Warehouse with Flat Packs and Kitchen Reno Products in the Bibra Lake area.
This is an ongoing opportunity for the right fit and training will be provided. Be a part of a small, competent team where your imput matters.
This role has a great work/life balance with a standard Monday to Friday 7am to 4pm, overtime is rare.
Stores person experience desirable but not essential as is experience with Forklift (C/Balance and High Reach)
Must be physically fit (Manual Handling involved)
Manual Handling capability to load/unload of Kitchen Renovation Products
General warehouse duties (Pick Pack, Wrapping, strapping etc)
Must pass DAS
$ p/h Pens at entry level up to $35 p/h pens for an experience person.

The Job

• Working as part of a team providing excellent customer service wherever there is interaction with one of our customers
• Till processing including cash, account and credit card customers. You'll also ensure that the correct materials are identified and processed. Don't worry full training is provided
• Maximising sales opportunities
• The contracted hours for this role are between 17 and 24.
