key Purpose: We are seeking an Administrative Officer to support our business operations through essential administrative services. This role is vital in ensuring the smooth functioning of our operational and business functions.
Key Responsibilities: As an Administrative Officer, you will perform a range of duties aligned with the Northern Ireland Civil Service Administrative Officer Grade. Your responsibilities will include, but are not limited to:
- Maintaining the integrity of the Agency and ensuring the effective delivery of services.
- Keeping records updated, both manually and electronically.
- Preparing weekly, monthly, and quarterly reports using Microsoft Office (Word, Excel, and PowerPoint).
- Responding efficiently to inquiries from internal and external stakeholders via phone, in person, and electronically.
- Assisting with the administration of operational activities, workshops, and presentations.
- Compiling statistical data as required.
- Processing financial transactions accurately.
- Providing technical support for office equipment, including phones and printers.
- Assisting with procurement processes and managing stationery supplies.
- Contributing to and generating reports from various systems and databases, such as the Individual Conciliation Case Management System and Corporate Services systems (Finance, Personnel, etc.), Access, and Visio.
- Welcoming visitors at Reception and managing calls through the Agency's switchboard, along with providing WebChat support for stakeholders.
- Undertaking any other miscellaneous duties appropriate to the role.

A minimum of 4 GCSEs which must include English and Maths at Grade C or above or
equivalent.
