The following are the duties of this position at the full working level.

-Advises and supports OCPO Senior Managers and Executives in developing and directing controls for IRS procurement and contract programs. Consults with and furnishes authoritative advice and guidance to staff. The employee is responsible for devising sophisticated pricing arrangements and for managing all contractual aspects of the services and systems acquisition process. Primary point of contact and authority for OCPO Senior Managers and Executives on acquisition approaches and alternatives, market analysis and outcomes the drive the acquisition approaches for major procurement of supplies, services (including information technology, architectural and engineering, or research and development) using broad authority and oversight within warrant level to legally bind and obligate agency funding through contract issue cure notices and terminate contracts for convenience or default.

-Takes a leadership role in coordinating and representing the Office of the Chief Procurement Officer on complicated and controversial acquisition issues with all impacted parties. The employee must be prepared to defend the acquisition strategy, competition approach, or award summary or other positions due to challenges from a variety of entities such as congressional staff members, state government, or other federal government authorities such as Government Accountability Office. Serves as a leader for the short- and long-range planning, development, coordination, and implementation of very broad and complex procurements that impact support services and information technology for Internal Revenue business units. Knowledge of related disciplines and functions involved in the acquisition process, such as design or system engineering, integrated logistics support, financial management, and their interrelationships with contracting. Advises and supports the OCPO Senior Managers and Executives, Program Managers, and COR's in developing and directing controls for IRS procurement and contract programs. -Develops and maintains innovate contractual language, terms, and conditions. Serves as a program contractual authority and advisor on the acceptability and applicability of contractual matters related to procurement actions. Interprets and applies Federal Acquisition Regulations (FAR), Department of Treasury Acquisition Regulations (DTAR), and Internal Revenue Service Acquisition Procedures (IRSAP) to every acquisition regardless of type of procurement and dollar threshold. Responsible for reviewing acquisitions strategies recommended by program officials to ensure accuracy, quality, adherence to FAR, DTAR, and IRSAP prior to approving streamlined and innovative acquisition strategies that bring the greatest value to the IRS mission.

-Serves as the subject matter expert for other contracting professionals in the Office of Procurement Operations by utilizing experience, knowledge, and training to guide, coach, and mentor contracting professionals through establishing acquisition strategies, navigating challenging procurements, responding to protests, responding to Freedom of Information Act requests, responding to congressional inquiries, drafting negation strategies, drafting award decisions, analyzing the impact of new legislation, and procurement policies on procurement actions.

- Approves acquisition strategies, evaluation criteria, appoints contracting officer technical representatives, award decisions, negotiation strategies. Participates and collaborates with IRS senior executives, program managers, attorneys, small business specialists, procurement policy, and senior procurement executives on contract review board prior to approving acquisition strategy.

Starting at $143,736 Per Year (GS 15)

The primary purpose of this position is to perform numerous tasks which are dissimilar in kind, but which have in common the purpose of assisting the work of one or more persons in an organization. The incumbent is responsible for aiding with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff in the Executive Suite. He/she drafts correspondence, such as routine official correspondence, social and personal acknowledgments, congratulatory letters, and routine office reports. He/she is responsible for performing typing on a computer keyboard wherein the work requires competitive level proficiency in typing as well as knowledge of office software systems. Other duties include, but are not limited to:

Data Collection and Tracking Support

• Performs work involving the collection, compilation, and/or tracking of data and statistical information.
• Functions as the service timecard coordinator ensuring timely submission of all timecards for final approval.
• As Lead Timekeeper, correctly posts and tracks time and attendance for service employees and contractors following all training and guidance provided by Payroll Department and Supervisor.
• Maintains organized records to support timecard entries, maintains records of leave and attendance.
• Provides reports to supervisor as required regarding leave usage and completeness of subsidiary records.
• Maintains information needed for budget purposes.

Mail, Correspondence and Reports

• Receives and controls incoming correspondence.
• Processes incoming and outgoing materials such as correspondence, reports, and mail routing, memorandum, and other forms of written communication.
• Prepares manuscripts, grant proposals, statistical reports, tables, and charts using knowledge of scientific medical and/or other technical terms.
• Evaluates data collection forms and coordinates incoming data from a variety of sources.
• Researches, prepares, and reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate.

Maintaining Appointments, Calendars and Schedules

• Schedules appointments, coordinates meetings, schedules conferences and reserves rooms for meetings.
• Researches and provides background on subject matter of meetings without direction.
• Attendings meetings, prepares meeting minutes, and follows up on action items with the appropriate staff independently.
• Incumbent will work closely with the Chiefs' BMS in the scheduling and planning of the Chiefs' calendars to schedule committee responsibilities, public engagements and occasionally assists patients with issues as a Service Line Advocates (SLA).
• Coordinates and prepares all the Chiefs' travel arrangements and accommodations. Schedules service meetings takes minutes and tracks action items.

Starting at $49,482 Per Year (GS 7)

To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

1. Operational Management: The HUB: Take full responsibility and accountability of the HUB and all operations Ensure all operational tasks are carried out efficiently and effectively during the shift. Oversee the smooth functioning of all processes and procedures within the HUB. Address any operational issues promptly and take necessary actions to resolve them. Management: Ensure adherence to HUB policies, procedures, and protocols. Ensure team compliance with clinical guidelines and best practices. Address any deviations from established standards and provide guidance for correction. Schedule shifts and allocate tasks efficiently to ensure optimal coverage. Monitor attendance and address any issues or gaps promptly. Generate and analyse performance reports to identify trends and areas for improvement. 2. Leadership Provide support and guidance to the team: Offer assistance to team members dealing with complex or challenging calls and services. Handle escalated calls and complaints with professionalism and empathy. Serve as a resource for the team, providing guidance and solutions as needed. Coordinate with other team leaders and stakeholders: Maintain open communication with other leaders and managers to ensure alignment of goals and strategies. Collaborate with stakeholders to streamline service delivery and resolve issues efficiently. Foster a culture of collaboration and teamwork across departments. Mental Health Act Management Monitor, review, provide guidance and direction as to the legal status of patients who are subject to the Mental Health Act 1983, Mental Capacity Act and Deprivation of Liberty Safeguards (DoLS - new legislation pending) and ensure that they are detained or treated in accordance with the law and the code of practice in all new and ongoing services in Secure Transport and Complex Care Provide guidance and information to support to patients, relatives, carers, and staff on the rights and safeguards of the act, such as consent to treatment, appeals, advocacy, and complaints. Liaise with external agencies and professionals, such as Approved Mental Health Professionals to ensure lawful detention and conveyance. Maintain accurate and confidential records of the legal status and treatment of patients Keep up to date with the changes and developments in the legislation, policy, and practice related to the Mental Health Act 1983, Mental Capacity Act and Deprivation of Liberty Safeguards (DoLS - new legislation pending) and the Code of Practice. Participate in training and supervision, and contribute to the development and improvement of the mental health act knowledge and training

To oversee and support with the management and transformation of key administrative functions of the Dental Division to enable the efficient delivery of services to patients, Clinical Group Operational Teams, and members of the Divisional Senior Leadership Team.
To develop and support the implementation of key transformation programmes and significant complex work streams of programmes within Clinical Group Operational Teams as directed by the Group Service Manager or Service Manager.
Participate in the strategic planning, identifying interdependencies across projects/functions and bring together the outputs and outcomes.
