Executive Support Officer
Location: Margate, Kent

Salary: £16.87 per hour
Hours: 30 hours per week
We are seeking a highly organised and proactive Executive Support Officer to provide high-quality administrative support to the Executive Support Team at the local Council. The successful candidate will be responsible providing high quality administrative & proactive support service to three Directors as part of a small team.
We are looking for someone work in this role until December 2024, with the potential to extend to 37 hours per week until November 2025 to provide maternity cover.
This is a hybrid role, so you must be able to commute to Margate, Kent when required.
Responsibilities of the Executive Support Officer:
Working as part of a small team delivering high quality administrative support services to corporate directors ensuring systems and processes are maintained to an agreed standard.
Manage incoming and outgoing post/emails, respond to routine enquiries an ensure correspondence is brought to the attention of Directors and that follow up is provided as required.
Monitoring mailboxes, prioritising emails, and responding to queries and requests for information from members of the public and Councillor's. Liaising with Directors on more complex queries and requesting input from officers to provide background information for the Directors to inform their response.
Liaising with officers to ensure that where required, input is provided to the Director and responses are sent out within the agreed time frame.
Working as part of the team administering the complaints process using the relevant software, indexing incoming complaints, service requests & compliments. Quality checking responses and liaising with the relevant managers. Issuing reminders and ensuring responses are sent out in line with corporate deadlines.
Managing & maintaining calendars and assisting with forward planning diaries and meetings.
Prepare papers and meeting agendas, provide administrative support during meetings, and demonstrate excellent IT skills.
Responding to & assisting with enquiries and phone calls
Responsible for administration of financial activities including payments and ordering.
Requirements:
Proven experience in a previous role providing executive & PA support.
Strong ability to work to deadlines and manage own workload effectively.
Excellent planning, prioritisation, and organisational skills
Excellent diary management skills with ability to manage consistently changing meetings.
Qualification in Business Administration NVQ or similar.
Ability to learn quickly and undertake tasks efficiently and accurately working to tight deadlines.
Exceptional IT skills, including integrated e-mail and calendar packages. Preferable with knowledge of Google applications.
Excellent communication skills, both written and verbal
Demonstrated ability to provide excellent customer service.
Strong attention to detail and accuracy in all tasks
