Your new role
In this role, you will be responsible for processing purchase ledger invoices for all Group companies and handling ad-hoc purchase ledger queries under the supervision of the Purchase Ledger Coordinator. You will maintain the suspense accounts, ensuring timely authorisation of invoices, and manage the filing of invoices and matching with purchase orders. Additionally, you will need to liaise with suppliers for account reconciliations, collate company card statements and receipts, and monitor accounts emails to ensure all messages are appropriately addressed. You will also work with business support regarding procedures for expenses and credit cards, download and check expense statements, and administer company petty cash and related documentation.

* Possess experience and a good working knowledge of Excel and Sage.
* Be able to demonstrate accurate data entry skills.
* Be able to hit the ground running within a fast paced team.
* Possess the ability to work as part of a team and alone.

You're someone who'll be able to:

• Provide professional administrative support.
• To take ownership of your apprenticeship training.
• Complete the Level 3 Business Administration Apprenticeship Standard. https://www.instituteforapprenticeships.org/apprenticeship-standards/business-administrator-v1-0
• Dedicate 6 hours per week (on average) to develop your Knowledge, Skills and Behaviours for the apprenticeship during work time.
• Attend reviews with your employer and apprenticeship Trainer every 10 weeks to review your progress on the Level 3 programme.
• If you don't have evidence of Maths and English GCSE C or above (or an equivalent) you will also need to complete a Level 2 functional skills programme as a part of the apprenticeship. The fees for this and the apprenticeship are fully covered by the levy and the ESFA at no cost to the learner.

Training:

Your Trainer will meet with you in the workplace or online every 2-4 weeks. In between these meetings you will have dedicated time away from your job to work on the apprenticeship and collate evidence for your apprenticeship e-portfolio with ongoing support from your Manager and Trainer.

This is an exciting opportunity to be in a real job, with real variety, from day one whilst working towards a qualification. The successful candidate will have excellent people and communication skills and will be flexible to adapt to changing situations.

To be eligible for the Apprenticeship, applicants must have resided in the UK or EEA for 3 years prior to the start of the Apprenticeship. Please note: applicants must not have already completed a Level 3 Business Administrator apprenticeship.

This will be a fixed-term position and the duration of the apprenticeship will be determined by the job role and current skills. The typical duration of the apprenticeship is 21 months, however, can be longer or shorter depending on existing knowledge, skills and experience.

This role will be working in the main office providing whole school administrative support and there will also be a number of designated responsibilities to oversee.

Duties and responsibilities:-

• Daily pupil attendance and register checks; making calls home for absent pupils ​
• Undertake reception duties, answering routine telephone and face to face enquiries and signing in visitors ​
• Assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff etc in accordance with the school policy on administering drugs ​
• Assisting with arrangements for visits by school nurse, photographer etc. ​
• Provide routine clerical support e.g. photocopying, filing, emailing, complete routine forms ​
• Maintain manual and computerised records/management information systems​
• Undertake typing, word-processing and other IT based tasks ​
• Sort and distribute mail ​
• Undertake routine administration, eg daily attendance registers, extra-curricular registers, school meals​
• Operate office equipment e.g. photocopier, computer ​
• Arrange orderly and secure storage of supplies ​
• Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person ​

The Patients Booking Hub work to a shift pattern on a rota published at least 8 weeks in advance, please see below: 5 x 7.5 hour shifts per week on a rota of which: 1 x shift will be an early shift of 07:30-15:30 1 x shift will be a late shift of 12:00 20:00 3 x shift will be between either: 08:0016:00, 08:3016:30, 09:00-17:00 1 x 6 hour Saturday shift per month with a day off in the same week preceding and an additional and 30 minutes on 3 of the other 4 shifts in the preceding week to make it 37.5 hours. We are looking for exceptional individuals with excellent interpersonal skills, good organisational skills and a real passion for delivering a high quality patient experience and those looking to develop and progress in the NHS. You will need to be a confident and professional communicator with patients and Trust colleagues by telephone and have and good aptitude for using a variety of IT systems.
