PA to Chairman / CEO: - Schedule Planning and General Arrangement
· Follow up projects’ status with respective managers and report to Chairman/CEO.
· Attend meetings and prepare meeting minutes.
· Handle confidential documents ensure they remain secure.
· Maintain electronic and paper records ensuring information is organized and easily accessible.
· Maintain Chairman/CEO schedule and assist in planning appointments, board meetings, conferences, business meeting etc.
· Handle and priorities all outgoing or incoming correspondence (e-mail, letters, packages etc.)
· Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping of claims.
· General local and overseas trip arrangement for Chairman/CEO or the guests such as flight booking, hotel and restaurant reservation, etc.
· To represent or to lead and follow up on behalf of Directors for some of the business units report, meeting minutes, project progress and other task as assigned.
· Business Travelling for the purpose of business operation meeting, inter-company visit, factory visit, and any others if required
· To assist some of the family personal matters – activities, party, household procurement, children non-academic activities arrangement.
· Local travelling or oversea travelling if required.
· Any ad- hoc assignment as per the Management requirements.
Qualifications:
· Proven experience as a Personal Assistant or in a similar executive support role.
* Relevant Degree Holder or professional Diploma in Secretary.
· Excellent organizational and time management skills with the ability to prioritize effectively.
· Strong communication and interpersonal skills, with a professional and courteous demeanour.
· Proficient in Microsoft Office Suite and other relevant software.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Proactive, resourceful, and able to anticipate the needs of the CEO.
