An exciting opportunity has arisen to join the South West Nursing Directorate to support the Leadership and Business Management Team for a permanent contract.
We are currently seeking a Band 4Directorate Administrator with excellent administrative, communication and organisational skills, to work as part of a dynamic teamto deliver an effective service to support managers and staff across the Nursing Directorate.
The post holder will provide and coordinate administrative and secretarial services including for example: the preparation of agendas and minutes and taking appropriate follow-up action as required; supporting the team with the management of projects; gathering information and undertaking enquires as and when is necessary for the team; acting as the first point of contact for a wide range of stakeholders.

• Support the management of the mailboxes.
• Plan and co-ordinate diaries and meetings and all associated activities including distributing papers, booking rooms.
• Prepare agendas, take minutes, track and follow up on actions and distribute meeting papers.
• Provide and receive complex information which may contain contentious and sensitive information.
• Communicate and engage with external and internal stakeholders, which may require negotiation skills and understanding the needs/requirements of other organisations, senior professionals and individuals.
• Assist with the induction and orientation of new employees and attend to the needs of existing staff (ie office moves, equipment and IT needs).
• Process payment of invoices and manage purchase orders.
• Contribute to the team atmosphere and collaborative culture and relieve or support other team members as appropriate.
• Liaise with administrative staff on standards and processes.
• Maintain a good working knowledge of NHS systems, processes and issues in order to be able to handle enquiries effectively.
• Produce documents, reports and correspondence accurately as directed and in a timely manner.

Key Working Relationships
• Responsible for supporting the Directorate Business Manager and Nursing Directorate as required.
• The post holder will be the first point of contact, communication and support for the Director of Nursing/Deputy Chief Nurse (South), Head of Nursing and other managers and staff within the directorate as required.
• The post holder will liaise and work effectively with a variety of internal and external stakeholders on a range of issues.
Key Functional Responsibilities
Provide specialist secretarial/administrative support and advice to the teams by:
• Managing the electronic diary for senior members of the department, including arranging and changing appointments, prioritising these as appropriate.
• Undertaking administrative duties such as photocopying and mail-out distribution, including travel bookings.
• Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
• Organising and planning events as necessary with supporting information material.
• Supporting teams in project management and participating in department events
• Update and maintain data bases and/or spread sheets relevant to work area, and manage meeting arrangements including the taking and distribution of minutes etc.
• Working with all team members in the collection of information for performance reporting on relevant team projects.
• Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
• Supplying the relevant information required for financial management, supporting the Director of Nursing/Deputy Regional Chief Nurse, Head of Nursing and teams by checking and sending invoices for payment.
• Ordering stationery as required.
• Developing and maintaining effective electronic and paper filing systems to ensure that information is kept securely and is accessible to other members of the team.
