Based in Omagh, working 36 hours per week Monday to Friday 9-5pm, the successful candidate will work at an Executive Officer grade on a temporary basis, for our client's Pre-School Education Programme and support for the Pre-School Education Group (PEG).

The successful candidate will have excellent MS Excel skills including use of Pivot tables, graphs, look-up functions and formulas. They will also provide administrative support, follow set procedures, and exercise some independent judgement in carrying out instructions under general supervision.

The rate of pay for this role is £12.94 per hour.

Duties will include:

• Supervise staff including the allocation of tasks, checking output, quality and quantity of work, rotation and reallocation of duties or workload
• Ensure staff are appraised in line with the Education Authority's Staff Appraisal Procedures and assist in compiling a staff development plan for the team in accordance with the Education Authority's Staff Development Policy to maximise the potential of staff
• Provide administrative, clerical, and confidential secretarial support
• Arrange and service the PEG meeting and other relevant committees and working groups and draft minutes thereof
• Develop, maintain, and operate manual and computerised information systems in support of the service reviews and pre-school education
• Gather information from a variety of sources including schools, voluntary organisations, Department of Education and Health and Social Services and other organisations as required
• Use information technology systems and devise appropriate methodologies for the effective recording of data
• Use appropriate information technology to analyse data
• To be the first point of contact in the receipt of telephone calls; to receive visitors to the Section; deal with routine queries; and to record messages accurately
• Provide ICT administration, filing, faxing and photocopying in support of administrative processes including the use of email and internet
• Research, collate and prepare information to brief officers, prior to meetings and also take minutes at meetings
• To undertake any other duties which are commensurate with the grade of the post at the request of the Head of Section
• Comply with Education Authority policies and procedures in relation to the duties and responsibilities of the post

Job Role:

• The assistance in the collation of factual data and statistical information from various sources to support the work of identified officers within the service.

• Use initiative, tact and diplomacy in responding to queries, issues and problems which arise within the section in the absence of the programme manager.

Our reputable client, he Education Authority NI, is seeking Senior Clerical Officer's to provide administration support within the Statutory Assessment and Review Service based in their Belfast City Centre Office.


As a Senior Clerical Officer you will provide administrative, clerical and secretarial support to Senior Officers on all matters relating to the organisation and work of the department and the service it provides, on behalf of the EA for pupils with Special Educational Needs.



MAIN DUTIES AND RESPONSIBILITIES

Statutory Assessment

• Ensure the appropriate and timely issuing of all documentation in relation to Statutory Assessment and Annual Reviews;
• Assist Administrative and SEN Link Officers with processes in relation to placement of pupils with statements of Special Educational Needs including liaison with parents, schools, other EA departments regarding transport, classroom assistant provision, equipment etc;
• Assist with the processing of the Annual Reviews, Transition Plans, Change of Placement and Cessation of Statements;
• Arrange meetings for Officers to discuss statements with parents, schools and professionals;
• Ensure accuracy of the computerised and manual records of all children with statements of special educational needs and those undergoing statutory assessment;
• Prepare information on children who move into or out of the EA ensuring pupil records are forwarded to the appropriate education authority;
• Check the receipt of advices, reports, information from parents and professionals in relation to Statutory Assessment and Annual Reviews;

General Administration and Secretarial Support

• Provide individual secretarial assistance for Officers within the Statutory Assessment & Review Service (SARS) which includes checking correspondence, screening and distribution of mail/telephone calls, making appointments, receiving visitors and maintaining officers' diaries;
• Arrange appointments, preparation of materials for meetings and general correspondence for Senior Officers;
• Attend meetings as required acting as Secretary, preparing minutes for circulation to all involved;

Maintain databases/spreadsheets;

• Ensure the appropriate and timely issuing of all documentation in relation to the SARS;
• Deal with telephone queries and engage in follow-up action, where appropriate;
• Provide a confidential and discreet service when dealing with information of a personal and sensitive nature having regard to GDPR legislation;
• Provide information and support to schools, parents, other professionals and EA Officers;
• Preparation and compiling of documentation as required.
• Any other duties commensurate with the grade of the post.

As the successful applicant you must:

• Hold Five GCSEs at Grade C or above or equivalent (including English Language or equivalent)
• Hold at least 1 year`s suitable Clerical and/or administrative experience with sound knowledge of Microsoft Office Suite.
