The Advanced Scheduling Clerk was established as a part of the national initiative, Community Care Coordination, in which all facilities are now directed to coordinate all non -VA medical care appointments for the Veteran. The Advance Scheduling clerk performs a variety of administrative tasks associated with maintaining and supporting the work performed in the Community Care unit.

The Advanced Medical Support Assistant duties consist of but are not limited to the following:

• Assists Veterans with scheduling appointments with clinical providers.
• Follow-up after appointment to ensure attendance, and check-up for additional procedures.
• Informs providers in any change to patient's Community Care medical appointment.
• Prepares medical documentation for scanning into Veteran's electronic medical record.
• Regular meetings with supervisor and Community Care Nurses to manage and coordinate patient care.
• Schedules appointments and processes authorizations utilizing HSRM, CTM, CPRS, DST, Consult Toolbox.
• Guides patients through the Community Care programs, inputs referrals, sends authorizations, documents complaints, and provides follow-up and suggests resolutions to supervisor.
• Interprets and applies a complex body of pertinent laws, regulations, directives, and policies that relate to the administration of VA Healthcare Benefits and Community Care Eligibility.
• Performs other related duties as assigned.

Work Schedule: Monday-Friday, 8:00 a.m. - 4:30 p.m.

Pay: Competitive salary and regular salary increases When setting pay, a higher step rate of the appropriate grade may be determined after consideration of existing pay, higher or unique qualifications, or special needs of the VA (Above Minimum Rate of the Grade).

This Lead Medical Support Assistant (MSA) position is located at the Milo C. Huempfner NEWAC, Green Bay, Wisconsin.

Major Duties:

• Monitors and makes work assignments.
• Conducts ongoing reviews to ensure quality of work.-Assuring coverage of all areas of responsibility.
• Ensures accurate and timely scheduling of appointments.
• Provides guidance to staff members to include changes in policies and procedures.
• Organizes the work structure of assigned areas.
• Creates and maintains employee work schedules.
• Acts as a liaison between MSA and staff in order to resolve day to day conflicts.
• Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner
• Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes
• Daily review of active/pending consults, Electronic Wait List, Recall list and Audiocare
  communications for accuracy and disposition.
• Provides on-the-job training to new employees and instructs all employees on new and revised procedures.
• Assists in achieving compliance with regulatory agency standards, including state, federal, and Joint Commission Standards.-
• Interprets and communicates requirements of VHA Scheduling Directives and complete and accurate scheduling responsibilities.
• Other duties as assigned

Basic start $2600, after 3 months confirmation is $2700. Have OT pay.
