Your new role
National Highways have an excellent opportunity for a Personal Assistant to join our team in the Yorkshire North East region. Reporting to Regional Director, you will be responsible for the coordination of meetings, general administrative duties and the management of the Regional Director’s diary and calendar.
Please note this position is for a 12-month fixed term contract to cover maternity leave.
What you’ll be leading on
Act as first point of contact for the Senior Management Team member(s), manage electronic communications, mail and incoming calls; ensuring that these are prioritised, deadlines are considered, and appropriate action is taken as well as undertake ad hoc administrative duties as and when required, ensuring accurate, timely delivery and that relevant policies and procedures are followed.
Manage logistics for the Senior Management Team including management of diary, travel planning and expenses, to ensure effective utilisation of time and value for money.
Arrange and attend meetings and events ensuring that consideration is given to the most effective and efficient use of time and cost; produce accurate records and maintain and update action logs for all meetings.
Collate and compose information and prepare standard documents, correspondence, papers and presentations accurately and efficiently, to support the delivery of excellent service standards to internal and / or external customers.
Lead and co-ordinate the regional workforce plan including forecasting and planning recruitment requirements and ensuring budget adherence.
Quality assure, enter and maintain information on systems and files to ensure that information is up to date, accurate, in the right place and easily accessible, handling department and Company sensitive information with discretion to ensure confidentiality ensuring security of papers and liaising with the team’s SHARE Information Manager where appropriate.
Build effective working relationships with colleagues across National Highways and externally, to develop cooperation and contribute to the continuous improvement of services.
To be Successful
Excellent communication skills and stakeholder management
Experience within a similar administrative role and environment
Proficient in MS Office package
Ability to effectively manage workload in timeframes
