Provide administrative support to the Widening Participation Lead. Be responsible for the coordination of own area of work i.e. apprenticeships, functional skills and careers advice, but support within other areas when needed Be a point of contact and work with for example, Learners, their Line Managers, the wider Education Team, our HR Team, Building Co-ordinators, external Education Providers, and Partner organisations, to ensure that all Education events are properly administered and that appropriate information and advice is given. Provide basic career advice on how to get in, and get on and get further into the NHS and describe the variety of education and career pathways to staff and members of the public. Manage the administration for the learner cycle from application to graduation of education programmes, which include, but are not limited to apprenticeships, functional skills (English and Maths), careers, and administrators curriculum. Organise and manage Widening Participation programme events and promotional activities, for example, booking venues, equipment, trainers, refreshments. Maintain high levels of quality assurance, including tracking of learners individual learning plans, attendance at training, programme evaluation and course approval procedures. Assist with marketing and communications projects to promote the career development and education opportunities that the Trust offers. Proactively innovate, create, and develop Careers and Education Resources, as well as create, edit and update digital resources. Produce and update PowerPoint Presentations and resources that promote our Widening Participation activities for example, Career Pathways, Functional Skills and Apprenticeships. When required, be prepared to travel to other locations to manage the set-up of training or be available to support Careers events. Use information systems such as our learning management system, finance systems, digital apprenticeship service and prepare reports for both internal and external use. Participate in the development and implementation of administration and information systems and procedures. Ensure financial systems are followed when purchasing goods, services or equipment, and process invoices. Supervise staff for example, our apprentices who are part of our team. Take minutes and notes at internal and external meetings, for example, Contract meetings with our Training Providers as and when required. Provide administrative and finance support across the department as required. Person Specification Qualifications Essential Level 4 qualification or above GCSE English and Maths at Grade A*-C/4-9 or Level 2 Functional Skills English and Maths Qualifications Desirable Level 4 qualifications or above which could include a Diploma in Careers Information and Advice, Business Administration or Project Management. Experience Required Administrative experience in a busy office environment. Experience of using spreadsheets and databases to input, extract, analyse and report on data. Experience of representing an organisation at internal and external events such as Careers Fairs or similar. Knowledge An understanding of Apprenticeship and Entry into Employment programmes Skills Competent in all Microsoft Office applications, particularly Word, Excel, PowerPoint and data management. Comfortable with using new technologies.
