Core Responsibilities

• Ensure compliance with GDPMD, local MoH regulations, and other relevant standards and regulations
• Maintain and update the Quality Management System documentation, including SOPs, work instructions, and forms
• Identify and investigate product non-conformances, implementing corrective and preventive actions (CAPAs) as necessary
• Prepare for and participate in internal and external audits for the company and its subsidiaries, including MoH, GDPMD, and suppliers
• Assist in the preparation and submission of regulatory documentation and reports
• Provide training to staff on quality standards, procedures, and best practices.
• Investigate customer complaints and feedback related to product quality for subsequent reporting to relevant health authorities
• Maintain accurate records of quality control activities and audit findings.
• Prepare and present quality reports to management

Pre-Requisites (Qualifications & Experience)

• Bachelor’s degree in Engineering, Life Sciences, or a related field
• Minimum of 3 years of experience in Quality Assurance within the medical device or related industry
• In-depth knowledge of GDPMD, MDA/HSA regulations, and other relevant standards
• Proficiency in Microsoft Office Suite and quality management software
• Excellent communication and interpersonal skills
• Strong analytical skills and attention to detail
• Ability to work independently and as part of a team

You will collaborate with stakeholders on timely data submissions and accurate reporting of clinical quality indicator results. This involves data extraction and analysis, and maintaining the department’s database. You will also promote and encourage staff participation in quality improvement programmes and contribute to projects relating to Quality Improvement initiatives.

In addition, you will coordinate and support Ensure Safe System (ESS) for Quality Assurance & Risk Management and liaise with ESS stakeholders to ensure standards are met. You will also coordinate meetings, prepare meeting minutes and reports, and provide any other administrative support. You will also work closely with internal/external stakeholders to support corporate programmes and participate in ad hoc operational projects and initiatives.

· Degree in Biological Science or Applied Science, with 2 years’ working experience

Job Summary:

The Administrative Assistant at Legion Pest Control will assist in maintaining the efficient operation of the office, supporting field technicians, and ensuring that administrative tasks are handled promptly and accurately. This position involves a combination of office-based responsibilities and occasional interaction with clients and field personnel.

Responsibilities:

Client Communication:

• Answer client inquiries and schedule appointments for pest control services.

• Provide excellent customer service by addressing client concerns and ensuring their needs are met.

• Maintain accurate client records and databases.

Scheduling and Dispatch:

• Coordinate and schedule appointments for pest control technicians.

• Dispatch technicians to service locations and provide them with necessary information.

• Monitor technician schedules and ensure timely completion of services.

Office Administration:

• Perform general office tasks such as filing, photocopying, scanning, and data entry.

• Manage office supplies and place orders when necessary.

• Assist in preparing invoices, quotation, and service agreements.

Record Keeping:

• Maintain accurate and organized records of service reports, client information, and invoices.

• Ensure compliance with regulatory and company record-keeping standards.

Billing and Payments:

• Process payments, issue invoices, and follow up on overdue accounts.

• Coordinate with the finance department as needed.

Support for Technicians:

• Assist pest control technicians with administrative needs, such as documenting service details.

• Ensure technicians have the necessary paperwork and materials for service calls.

Health and Safety Compliance:

• Assist in maintaining safety records and ensuring compliance with safety protocols.

• Coordinate safety training for field technicians as required.

Qualifications:

• Previous experience in office administration or customer service is advantageous.

• Basic computer skills, including proficiency in Microsoft Office and data entry.

• Excellent communication skills, both written and verbal.

• Customer-focused with a professional and friendly demeanor.

• Organized and detail-oriented.

• Ability to multitask and prioritize tasks effectively.
