Job Summary: The Purchasing Coordinator is responsible for managing the purchasing processes for EACH, ensuring value for money, competitive pricing, and prompt service. This includes complex contract negotiations, supplier management, and ensuring that all purchasing activities align with EACHs strategic goals, including net-zero objectives. The role involves providing high-quality administrative support to the Head of Facilities and Director of Finance, supervising the Purchasing Assistant, and maintaining an effective filing and contract management system. Responsibilities Provide administrative support to the Head of Facilities and Director of Finance, including checking utility invoices, conducting data analysis, and drafting minutes and correspondence. Organise meetings with service providers to ensure strong and robust relationships. Implement and develop systems to maintain an effective filing system that meets the needs of EACH. Maintain a facilities contract register and proactively review contracts for cost performance and alignment with organisational objectives. Manage the purchasing process, ensuring that advice considers the best value for money with reference to quality, service, and price. Supervise the Purchasing Assistant, ensuring effective management of purchasing activities. Meet regularly with existing suppliers and seek meetings with potential new suppliers to secure optimal terms. Ensure that net-zero objectives are integrated into sourcing decisions and supplier selection. Oversee and ensure compliance with the approved contractor and supplier approval process. Integrate purchasing and supplier information into other systems, including the CMMS and SharePoint. Negotiate and renegotiate complex contracts for services, including utilities, telecoms, and waste disposal. Maintain accurate databases and manage the approved supplier list process. Keep the purchasing procedure and policy up-to-date and relevant, suggesting and implementing KPIs for review by the Head of Facilities.

Purpose of the position

To work as a key member of a cross functional project team, alongside other key senior project roles accountable for managing and reporting all supplier and subcontractor delivery performance (cost, quality and delivery). A key aspect of this position will be to ensure that material cost is managed to the budget baseline and supplier/subcontractor compliance is managed to ensure delivery of contractual deliverables and identifying and mitigating all risks that may affect this.

Responsibilities:

• Manage the relationship with all key suppliers across the project

• Ensure clear alignment between Marshall and all Suppliers on all key contractual deliverables and documentation as Terms and Conditions, Statement of Work and Schedule of requirements.

• Chair regular project reviews with all appropriate suppliers invited all necessary functional leaders as required

• Manage any non-compliances of suppliers to the contract seeking specialist support from the Bid Procurement Team or Category Team as required

• Tracking and regularly review supply and supplier risks against the programme

• Negotiate and agree variations to the contract baseline, in conjunction with the key functional leaders

• Provide monthly status reports to functional and business leaders

• Ensuring all suppliers execute their responsibilities under the contract

• Validate and approve supplier payments in accordance with the contract

Tasks:

• Develop and sustain strong relationships with all key project, business and functional stakeholders and be able to brief at all levels status of cost, supply status and supply risk for all suppliers & subcontractors with the scope of the project(s)

• Provide weekly 4-Box reports detailing Successes Opportunities Failures and Threats (SOFT) to key functional and project leaders

• Chair key development review meetings with key suppliers to ensure alignment to contractual deliverables.

Your role

Reporting to the Purchasing & Back of House Manager, you will work closely with our F&B and Operational teams to provide a full end to end Purchasing and Procurement service across the hotel. You will support the full running of our purchasing department, and will be largely responsible for overseeing daily F&B orders through Birchstreet (our purchasing system) from fresh produce deliveries through to beverage orders; operating supplies and equipment to stationary.

With 6 F&B outlets [served by 2 kitchens], 266 bedrooms and event spaces The Standard, London is a very busy and complex operation that requires exceptional coordination of daily deliveries and requisitions; not to mention the management of our cellar and stores areas. You will be responsible for maintaining purchasing procedures and work closely with the back of house and kitchen teams to ensure that quality controls are in place and accurate; and support the monthly stocktakes and general management of the hotel's inventory with our F&B Controller, Stores Supervisor and Beverage Director.

You will also provide specialist support in the procurement of ad-hoc items, or new product lines to ensure that the best prices are negotiated with suppliers, contracts and TOBs are reviewed and relationships are maintained to manage costs across the business.

This is not a ‘Standard' Assistant Purchasing Manager role so you will need to have serious stamina and passion, be highly social, upbeat and friendly; confident and handle pressure well; thrive in a high-volume, high-energy environment and able to work equally well both independently and as part of a team.

* A minimum of 2 years prior experience in Purchasing as either an Assistant or Supervisor is essential and should have been ideally gained in a similar large scale destination restaurant or wider hospitality business.

* Be available and able to commit to a 1-year maternity contract

* Prior experience of sourcing and purchasing Food and Beverage products

* A solid financial understanding with experience of managing stock takes, implementing stock controls to minimise wastage and preparing inventory and cost analysis reports

* Have strong negotiation skills and have previous experience of procuring new and specialised products

* Have expert/admin knowledge of Birchstreet, as well as good skills on Excel.

The Team

The Inventory Data Analyst role sits in the Central Supply Chain / Technical Operations team at Mundipharma. The role will be accountable for the Global inventory analytics and proactively managing key results by managing and tracking around $150M of inventory, reporting of related KPIs, providing variance analysis and actively delivering inventory balancing initiatives.
