What We Are Looking For
The Office Maintenance Co-ordinator is responsible for ensuring the smooth operation and maintenance of office facilities. This includes managing repairs, monitoring supplies (including food and drinks), coordinating with vendors, and ensuring a safe and efficient work environment. The role also involves handling expense claims, managing reception tasks for visitors, and responding promptly to maintenance and employees' requests.
Key Responsibilities
- Office Maintenance & Repairs : Coordinate and oversee regular maintenance tasks such as cleaning, HVAC, lighting, plumbing, and other office systems. Arrange for timely repairs when needed.
- Vendor & Contractor Management: Liaise with external vendors and contractors for office maintenance, repairs, and renovation projects. Ensure that work is completed to a high standard and within budget.
- Safety & Compliance: Ensure the office complies with health and safety regulations. Regularly inspect fire extinguishers, first-aid kits, and emergency exits to ensure they meet safety standards.
- Inventory & Supplies Management (Including Food & Drinks): Monitor and manage office supplies, including janitorial supplies, food, drinks, and tools for minor repairs. Coordinate with procurement for reordering when stock is low.
- Expense Claim Preparation: Assist staff in the preparation of travel expense claims rensuring all documentation is accurate and properly submitted for approval.
- Manage reception duties when required, including welcoming and assisting visitors, ensuring they are comfortable, coordinating meeting room arrangements, and setting up audio-visual (AV) equipment as needed.
- Office Equipment & Systems Maintenance: Oversee routine checks of office equipment (e.g., air-conditioning systems, electrical systems) and ensure all machinery is in good working order.
- Budgeting & Cost Control: Assist in budgeting for office maintenance and operational expenses, keeping accurate records of maintenance activities, supply usage, and costs.
- Employee Support: Act as the first point of contact for maintenance-related inquiries and issues raised by office staff. Address concerns promptly to minimize downtime.
- General Administrative Tasks: Handle paperwork related to maintenance contracts, safety inspections, office supply orders, and expense claims. Assist with any other ad-hoc tasks as required by the superior.
Qualifications and Skills:
- Proven experience in office or facility maintenance roles.
- Good organizational skills and attention to detail.
- Proficiency in Microsoft Office (Excel, Word) for reporting, record-keeping, and expense claim preparation.
- Basic knowledge of safety regulations and compliance requirements.
Core Competencies:
- Ability to work independently and prioritize tasks
- Problem-solving skills to handle maintenance issues effectively
- Budget management experience is an advantage

- Occasional after-hours or weekend work may be required for emergency repairs or support
