We are currently looking for a Facilities Coordinator to join our friendly team at our Tarmac Solihull office in the West Midlands working on a fixed term contract for up to 18 months. This role is easily accessible from Birmingham, Solihull, Selly Oak, Kings Norton, Rubery, Redditch, Warwick, Stratford-upon-Avon, Leamington Spa, Coventry, Worcester, Bromsgrove, Tamworth, Lichfield, Walsall and across the West Midlands and East Midlands.

The Facilities Coordinator is a highly visible role, responsible for the health and wellbeing of all employees, visitors and contractors on site.

Main Responsibilities

Reporting directly to the Regional Facilities Manager, the role of Facilities Coordinator will work collaboratively with key stakeholders and be involved in the implementation of appropriate procedures and working practices, ensuring the workplace is safe, secure, compliant and fully equipped.

As Facilities Coordinator you will also be responsible for:

• Ensuring the building meets all health & safety standards and complies with all legal requirements
• Daily health and safety checks within the office, first aid audits, stationery audits, managing incoming and outgoing post
• Raising requisitions, placing orders and managing various mailboxes
• Overseeing service provider contracts including cleaning, maintenance (including Planned Preventative Maintenance) and building management/concierge to ensure standards are being maintained and ongoing performance
• Working closely with the purchasing team to optimise contracted spend with approved suppliers
• Ensuring Environmental Management systems and procedures are understood and enacted
• Ensuring the building is operated and maintained effectively, planning for future changes in line with strategic business objectives
• Responding appropriately to emergencies or urgent issues
• Ensuring there is effective employee communication for all staff employed on site
• Supporting with other facilities contracts as they are identified

The Ideal Candidate

To be successful in the role of Facilities Coordinator the ideal candidate will possess previous experience as a Facilities Coordinator combined with experience of organising, planning and administration tasks.

Suitable candidates for the role of Facilities Coordinator will also possess:

• Excellent interpersonal and communication skills
• Experience of engaging and effectively communicating with a wide range of contacts both internally and externally
• Ability to respond to individual and business needs in a timely manner
• Ability to adapt and prioritise in a fast-paced environment while keeping a high attention to detail and completing work to the highest standard
• Superb organisation skills
• Proven skills working collaboratively as part of a team and cooperatively with colleagues
• Capability to build credible working relationships quickly at a Senior level
• Strong IT skills including the highest levels of competence with Microsoft packages (SAP advantageous)
• Confidence to be one step ahead as no two days are the same
• First aid training or willing to be trained

Our client are a Housing Association, and based out of Birmingham, you will be working a 37 hour working week, carrying out the below duties:

• Undertaking gardening, garden clearance and/or grounds maintenance for a range of properties in accordance with service specification and works schedule
• Undertaking seasonal external maintenance work such as hard landscaping or fencing repairs
• Supporting the neighbourhoods team to manage our estates to the highest standards and to the satisfaction of customers
• Supporting the sustainability of neighbourhoods by maintaining high standards of presentation
• You need to deliver excellent services to customers and work to achieve performance targets and high levels of customer satisfaction

Responsibilities

• Work as part of a team delivering gardening services for properties and for other landlords, to agreed timescales and specifications. The gardening work includes grass cutting, clearance, planting, weeding and maintenance of shrub areas using appropriate hand tools and mechanical horticultural appliances
• Undertake external maintenance work such as slab repairs and fencing, within agreed timescales
• Make use of modern technology to support the delivery of the role on a mobile basis.
• Work proactively to present schemes to the best standards possible
• Be mindful of the opportunities for consistently delivering improved value for money supporting the Estate Services Manager
• Deliver excellent customer service, responding to customer enquiries positively and politely
• Work collaboratively with your team and with colleagues across the association
• Deliver and demonstrate the vision, values and behaviours of the organisation at all times
• Compile accurate and relevant performance or completion information when required for consideration by the team manager
• Work to achieve performance targets, identify any barriers to achieving these targets and agree remedial actions with the team leader
• Ensure that health and safety considerations are central to all work activities.
• Attend health and safety training or briefing as required and ensure that risk assessments are complied with at all times
• Ensure that personal protective equipment is used appropriately
• Make timely referrals and where there is a risk of significant harm, take immediate action in accordance with the Safeguarding Policy and Procedures and procedures of the relevant Local Safeguarding Board(s)
• Seek continuous improvement in the quality and delivery of services to customers including developing your own skills, knowledge and experience
• All work to be undertaken in line with policies and procedures
• Undertake any other duties commensurate with this post as reasonably requested by the Team Leader (Grounds Maintenance)

Requirements:

• Previous Ground Maintenance experience.
• Be able to work outside in all weathers.
• Physically fit due to ground conditions.
• Hold a Full UK Driving License

Working hours:

• Monday to Friday 7am till 3pm and be flexible to work alternate weekends.

In your new job as a Facilities Manager, you will manage hard & soft services scope (technical, cleaning, archiving, pest, catering & estates).

The role holder will manage a team of approx. 30 people plus sub-contractors, ensuring that an effective and efficient service is delivered and maintained and that service levels are in line with the contractual CI's, KPI's and PI's. You'll also monitor and control supplier, sub-contractor and labour costs to ensure financial targets are achieved. Building a strong working relationship with internal and external customers including sub-contractors is important in this role, to ensure that all services are delivered in a professional, timely and cost-effective manner.

You'll be responsible for compiling accurate management information/reporting as required and submit in a timely manner to appropriate stakeholders, and play a key role to support any site audits, including but not limited to, quality, health and safety, environmental and finance.

The successful Facilities Manager will have experience of FM project delivery, including an awareness of CDM regulations and proven success in an operational manufacturing environment, worked within process-led, regulated organisations and/or industries. You will hold a suitable Health and Safety certificate (IOSH Managing Safely or similar) and Knowledge of Quality Management Systems is extremely desirable.

The ideal candidate will be able to demonstrate a proven track record managing multi-disciplined teams including recruitment, disciplinaries, grievances, appraisals, and performance management, and can show an ability to manage operational finance, i.e. management of WIP, debt and billing activities and highly computer literate and experienced in using Microsoft applications.

What could you be doing?

From minor servicing, full services, and repairs to basic pipe installations, we need you to help us keep our homes up to temperature.

As a team player, you’ll be hard working and keen to learn with a can-do attitude. You’ll be working in people’s homes, so you’ll need to be friendly and approachable with good communication skills. You’ll also need to be organised and recognise the importance of delivering good customer service. 

Some things we need from you

You will have sound experience and be ACS qualified and have CCN1, CKR1, HTR1, CEN1 (or CENWAT), MET1, LPG and CPA1.

NVQ Level 2 Plumbing/ Heating/ Ventilation is essential

You will be a good communicator and have the ability to work well with customers and other trades.

You’ll have a full UK driving licence

As you will be working in our customers’ homes you would also require a DBS check.



There is also the opportunity to earn up to £1500 per annum from the out of hours on-call allowance and voluntary overtime. This role will require being on the out of hours rota.
