The Tower Hamlets Schools (THS) PFI Contract covers 24 schools in East London and is part of a wider PFI contract, covering Facilities Management contracts in London and the Midlands. G4S FM provides full Lifecycle replacement and mechanical and electrical system (M&E) services across these 24 schools as part of the Tower Hamlets PFI Contract.
About the role
We have an exciting opportunity for a Regional Facilities Manager to join our friendly team working on the Tower Hamlets School (THS) PFI contract based at Trinity Buoy Wharf. This is a full time role working 40 hours per week, Monday to Friday.
As Regional Facilities Manager, you will be responsible for the safe operational delivery of all FM services to the portfolio of schools, ensuring that the service is delivered in accordance with all contracted standards & legislation, company policies and procedures.
Responsibilities
Manage customer relationships with the Schools and service delivery for the region.
Direct a relationship with the Helpdesk and utilise data from CAFM, ensure PPMs and reactive works are completed on time and to the required contractual standards.
Maintain regular contact with the client and all other stakeholders and deal with any issues efficiently and in a professional manner, deputising for the Regional Account Manager where required.
Monitor and control agreed budgets and review with the Contract Management team at monthly meetings.
Manage labour costs to budget and oversee recruitment and ensure all employees and any temporary employees receive the appropriate induction and training.
With an ethos of quality data driving performance ensure your direct reports have a clear understanding of their role, responsibility and performance measurement requirements. Analysing and seeking out opportunities for improvement across ALL service requirements.
Monitor and review all staff performance on an on-going basis and manage employee relation issues.
Oversee all weekly and monthly shift reports before processing to payroll.
Ensure that all areas, machinery, tools, stock and materials storage areas are kept in a clean and tidy state, supported by relevant audits, including plant rooms.
Undertake Health and Safety audits and lead Health and Safety meetings with direct reports, identifying Health and Safety incidents and or concerns.
Ensure that safeguarding and emergency procedures are current and that all staff and contractors are aware of them and all contractors undertake a site induction.
Chair weekly/monthly service reviews with direct reports.
Reduce spend levels by introducing innovative cost saving solutions.
Maintain minimum levels of work in progress (non-billed works) in accordance with company guidelines.
Provide robust management of Purchase Orders and ensure all Purchase Orders are raised in a timely manner.
Support the Contract Manager in preparation of monthly operational and financial reports for submission within the required deadline.
Monitor the helpdesk to ensure that all reactive works are captured especially where work is to be recharged to the client.
Liaising and supporting lifecycle and PMO with condition surveys, planning of works, reviewing Safe Systems of Work (SSoW), management of contractor, snagging and works sign off where applicable.
Manage suppliers to ensure a good level of service delivery.
Essential
Ability to manage both technical and soft services tasks.
IOSH Managing safely.
Effective financial management skills.
An ability to think quickly and make appropriate decisions.
Effective leadership, management and motivational skills, and the ability to develop an efficient team and willingness to embrace cultural diversity.
Record in facilities management showing consistency and progression with appropriate levels of experience and responsibility with 5+ years experience in a similar role or environment.
Knowledge and use of CAFM systems and data analysis.
Legionella awareness.
Fire Risk Assessment Understanding.
Thorough understanding of facilities management methods, systems and safety requirements.
Experience of identifying and implementing innovative cost effective solutions to operational problems.
Have an understanding of current Health & Safety and FM related legislation and compliance.
Sound knowledge of building maintenance management for engineering and building fabric requirements.
Experience of multi- site management.
Knowledge and experience of PFI contracts and performance risk management.
