As a Regional Facilities & Estates Manager at Athena Care Homes, you will be responsible for ensuring our 7 care home sites remain safe, well-maintained and compliant.

About the role:
Reporting to the Regional Director, the Regional Estates & Facilities Manager will be responsible for overseeing the facilities management, maintenance, and health & safety across our 7 care homes within the East Anglia region. You will work closely with the team of on-site maintenance staff, Home Managers and Regional Team to address any facilities-related issues efficiently.

Salary:
Up to £50,000 per annum + £3000 car allowance

Shift Pattern:
37.5 hours per week, Monday to Friday, 9am to 5pm with flexibility to be available for any facilities-related issues outside of core working hours.

Location:
This is a regional role and you will be working from any one of our 7 locations, and will be expected to travel to all locations in accordance with your role.

Key Duties & Responsibilities:

Manage, lead, and support maintenance teams across multiple sites to deliver a high standard of facilities upkeep.
Oversee planned and reactive maintenance activities to ensure the safety, functionality, and aesthetic standards of each home.
Ensure compliance with health and safety legislation, environmental regulations, and internal policies, conducting regular audits and risk assessments.
Budget management, including planning and monitoring expenditure on maintenance and repairs, as well as procurement of external services.
Identify and implement sustainability and energy-efficiency initiatives to support company targets.
Training, Skills & Experience Required:

Proven experience in estates and facilities management, ideally within a healthcare setting.
Strong knowledge of health & safety legislation, risk management, and regulatory compliance within a care environment.
Excellent communication and leadership skills, with experience managing and motivating teams across multiple locations.
Strong financial acumen, with experience managing budgets and controlling costs effectively.
Problem-solving mindset with the ability to remain calm under pressure and adapt to rapidly changing situations.
Relevant qualifications in facilities management, health and safety, or property management are desirable (e.g., NEBOSH, BIFM).
A full UK license, access to a vehicle for business use and the ability to travel to our 7 locations in accordance with your role.

Job Purpose: To manage the maintenance of the grounds and the main building in Cambridge, Ensuring efficient and effective service delivery for the clients of the building.

Responsibilities:

1. Building Maintenance:
   • Perform painting and decorating of offices and communal areas.
   • Conduct small electrical works, including changing light bulbs, installing sockets, and setting up Wi-Fi points.
   • Conduct site inspections to identify maintenance needs.
   • Execute minor on-site maintenance and repairs.
   • Schedule and supervise contractors for major repairs, ensuring satisfactory completion of their work.
   • Assist with office re locations.
   • Operate maintenance technology, including air conditioning, fire alarm systems, and security alarm systems.
   • Record weekly water and gas usage.
2. Grounds Maintenance:
   • Maintain the grounds to a professional standard, which includes lawn care, pruning, trimming, tree maintenance, car park upkeep, block paving maintenance, drainage clearance, and external lighting maintenance.
   • Promote environmental practices such as composting and recycling on-site.
   • Encourage ecological opportunities through initiatives like small animal housing and minimizing the use of harmful chemicals.
   • Contact suppliers for major tasks (e.g., large tree removal) and acquire landscaping supplies after obtaining budgetary approval from a Director.
   • Maintain an inventory of machinery and supplies used in grounds maintenance.
3. Health and Safety:
   • Conduct risk assessments.
   • Supervise contractors on-site to ensure adherence to safe working practices.
   • Ensure client compliance with the company's safety requirements.
4. Additional Duties:
   • Be available for emergency call-outs.
   • Act as a key-holder.
   • Undertake additional duties as necessary to meet the needs of the company.

What you'll be doing

• Ongoing daily property management, liaising with landlords on all repairs, housekeeping and H&S compliance.
• Lease management, liaison on all aspect of lease with 3rd party landlord, or client, where space is within contract, to include agreement on outgoings- rent and service charge.
• All facilities management including overseeing a team responsible for facilities management service to support business - (Cleaning/Security/Maintenance).
• Security management/liaison as required as instructed, inc intruder alarms, key holding services and door entry/access control systems.
• Assist management of security breaches by site and CCTV management and ownership.
• Finance and budgeting, Liaison with the finance team to prepare and monitor budgets, authorise invoices for property related expenditure.
• Procurement and management of utilities including annual reporting on consumption.
• Assist business achieve strategic objectives to manage energy, and monitor/reduce carbon footprint.

What we're looking for

• General practise surveyor (may be chartered with RICS qualification).
• Facilities management experience with supporting lease knowledge.
• Facilities manager skilled in building fabric.
• Contracts/Project/Client Management.
• Strong relationship management with internal and external stakeholders, including negotiation and solution development.
• Ability to undertake travel to other locations as reasonably required.
• Minimum 15 years' experience in Facilities management.

You will be representing the Howard Group to all external parties including tenants, contractors and suppliers and will need to ensure that Howard Group delivers a high quality of service and support at all times.
As the new Facilities Manager there will be a number of varied responsibilities in line with the following:

• Be a visible presence on site, proactively engaging with tenants to ensure that issues are dealt with in a timely manner and risks, opportunities and improvements are identified and acted upon
• Ensure best value is being achieved by analysing, auditing, and proposing improvements to the existing property management systems in operation.
• Assist with setting service charge budgets and then manage and control expenditure with regard to budgeted amounts.
• To procure and manage a team of multi-discipline Contractors to ensure services are delivered to the expected high standards, with a particular emphasis on Customer Service.
• Procure Planned Preventative Maintenance schedules where appropriate and schedule works as appropriate.
• Create and maintain an effective working relationship with existing contractors and suppliers whilst ensuring they have signed in, have the relevant work permits and are carrying out works on site in a safe manner.
• Ensure compliance with Howard Group procedures and policies, including health and safety, COSHH and environmental matters.
• Input updates into Riskwise relating to statutory certifications and H & S compliance records.
• Coordinate inspections and meetings as required across the portfolio including statutory annual inspections, FRAs, and any inputs to Asbestos Register
• Manage void property inspections and ensuring compliance with insurance policy
• Develop strong relationships with tenants and ensure they receive appropriate communications in a professional manner.
• First responder to any property related issue reported via tenants or helpdesk and deal with issues efficiently whilst communicating promptly to affected parties
• To host regular meetings with Occupiers and Special Interest Groups.
• To ensure the Property Portfolio is compliant with current/new legislation.
• Compose, update and maintain tenant handbooks, fit out guides etc
  

Sustainability:

• Drive sustainability initiatives across the Campus that improve ESG performance, and make recommendations on initiatives and management practices.
• Assist in the promotion and organisation of green travel initiatives.
• Implement initiatives highlighted by sustainability consultants to proactively reduce carbon use.
• Coordinate data collection of energy, water and waste and actively seek ways to reduce consumption / waste with occupiers.
  

Skills required:

• At least 5 years' commercial experience in a mixed property portfolio environment
• Ability to work with a high degree of autonomy, exercising judgement where escalation is required to manage the risks to the business
• Strong interpersonal skills; ability to create a good first impression face to face and on telephone
• Responsive, flexible and professional attitude with ability to adapt priorities as appropriate
• IT skills including core MS Office products
