Job Description
The postholder will perform a broad range of administrative duties working flexibly as part of an administrative team supporting Managers and Officers of the Council. Providing support to more than one Manager/Officer means there will be a broad range of work, frequently non-routine, in a variety of environments. Including:
• Providing administrative support and assistance involving activities such as word processing, scheduling and minuting ad hoc meetings, maintaining filing and records management systems, mail opening/scanning/logging/distribution.
• Entering data to maintain and update management information systems to produce records and reports for the Service, the Council and other agencies such as the Scottish Government in line with agreed timescales and deadlines.
• Providing a front-line reception service to service users and visitors to the office, dealing with enquiries face to face and on the telephone, logging calls and ensuring that calls and enquiries are directed to the most appropriate officer within appropriate timescales, as part of a responsive service.
• Using the Council’s financial systems to assist with monitoring expenditure against budget allocations, including e-procurement and e-purchasing and payment of goods and services. This could involve cash receipting and disbursement, calculating and reconciliation of creditors’ payments and debtors’ invoices in accordance with Council procedures, and maintaining and allocating stocks of stationery.
• Working as a member of the team to share best practice in relation to the development and review of effective and efficient administrative systems, protocols and procedures.
• Collating and updating inventories.
• Suggesting improvements to administrative standards and procedures.
• Working flexibly, participating in any other tasks as directed by the Team Leader.
