Our client is seeking an experienced Business Support Officer (Grade 4) to join their team at an Adult Learning Centre. The successful candidate will provide confidential administrative support to the Business and Operations Manager and the staff.

Responsibilities

• Supervising the administration staff to ensure that work is prioritised and carried out in accordance with service priorities, policies and procedures.
• Maintaining systems and procedures that ensure accurate data capture, recording, maintenance and retrieval of learner information in accordance to service standards and procedures.
• Assisting in the implementation of the service policies and procedures relating to health and safety and ensuring that Health and Safety legislation is adhered to.
• Facilitating learner enrolment by providing excellent customer service, information and guidance and undertaking assigned duties and processing associated documents and fee payments.
• Processing all financial orders on SAP, liaising with Procurement, Exchequer Management and assisting the Business Support and Operations Manager in all aspects of finance.
• Preparing statistical information for managers/service needs.

Requirements

• Adequate numeracy and literacy skills needed for this post and be able to show they have been trained in administration practices, customer care/front line service, relevant IT skills and knowledge of software packages, and a relevant Level 3 qualification or equivalent experience.
• Experience in administration support, for example, producing reports/documents/teaching materials, record keeping, using a variety of ICT packages.
• Experience in general clerical duties - filing, photocopying and stock maintenance.
• Experience of ordering goods/services and monitoring expenditure.
