Position: Project Management Specialist, Emergency Medicine
Location: Boston, MA
Schedule: 40 hours per week

POSITION SUMMARY:
The Project Management Specialist will have responsibility/accountability for establishing operational and administrative infrastructure within the Research Section of the Emergency Department. Manages a variety of projects including department specific newsletters, publications, Research Section website, IRB protocols, grant submissions and administration. Additionally, responsible for managing and assessing quality across multiple projects to ensure overall program success.
JOB RESPONSIBILITIES
Administrative
- Works with other department management to ensure that the Research Section operates in an effective, efficient, and professional manner.
- Schedules/coordinates logistics of meetings for Research faculty and staff.
- Responsible for controlling supply costs and proactively identifying cost-effective alternatives within budget constraints.
- Provides ongoing budget vs. actual revenue and expense variance analysis through review of both standard reports and reports specifically for project as assigned
General Management
- Acts as liaison to support staff, managers and directors within the Emergency Medicine Department to ensure team satisfaction.
- Contributes to an environment that fosters creativity, supports accomplishment of team goals and enables team members to work effectively.
- Handles transitions of new departmental staff members to ease into the new work environment.
- Provides direction for Medical Students completing research elective.
Project Management
- Oversees/coordinates specific projects in various operational areas within the Emergency Medicine Research Section..
- Provides leadership in project management and program office operations and methodologies. Maintains masterwork plan of Research Section.
- Tracks, analyzes, and makes recommendations on status reports, issue resolution, and program actual against project charter, budget, and/or plan.
- Standardizes and integrates plans, approaches, and deliverables across projects. Defines and communicates framework/templates for deliverables.
- Raises deliverable quality concerns or questions to appropriate level; ensures appropriate content/structure is contained within the deliverable.
4) Self Development
- Reinforces department’s image in the project environment.
- Maximizes use of training resources to accelerate or advance one’s own productivity and Identifies additional opportunity for improvement.
- Develops competencies as related to position.
5) Team Building and Participation
- Promotes project team efforts and shares sense of purpose so that work is synchronized and concurrent, knowledge is shared, and seamless services are provided.

JOB REQUIREMENTS
EDUCATION:
- Bachelor’s degree required; degree in health administration preferred. In some areas, equivalent work experience, particularly in healthcare, may substitute for education.
EXPERIENCE:
- Three to five years minimum of project or healthcare administration experience.
KNOWLEDGE AND SKILLS:
- Strong computer skills are essential (high level Microsoft Office products to include: PowerPoint/Excel/Word /Access, as well as Outlook, and Visio).
- Outstanding communication skills, interpersonal skills, and the ability to build value-added relationships with individuals at all levels while providing superior customer service.
- Positive contributor and a strong commitment to quality are essential.
- Strong time management, organizational skills and the ability to multitask are a must.
- Excellent judgment, with strong analytical and detail-oriented skills, is essential.
