A leading Professional Services firm based in Manchester is currently recruiting for an experienced Legal Support Assistant /PA.

You will be working as a team to act as a point of contact for fee earners and the completion of their work, the role with undertake all aspects of the Legal Support Assistant role, and where appropriate, manage the workflow by utilising Administrative Assistants and Document Production, retaining ownership and accountability of all tasks through to completion. Duties:

• Manage the production of documents and check returned work produced by the Document Production team
• Taking and making client related calls, dealing with and handling message taking as appropriate.
• Manage Interaction and ensure new prospects, clients and contacts, activities and business development information are added.
• Responsible for keeping up to date with client specific protocols and processes, implementing, providing guidance and training to others where necessary and ongoing monitoring.
• Support fee earners in business development activities including the involvement in preparation of pitches and presentations, scheduling meetings e.g. tenders, directories, internal clients.
• Manage diaries, ensuring they are up-to date, anticipating requirements e.g. associated travel /accommodation bookings, meeting rooms, drafting itineraries, preparing agendas, preparing and circulating papers.
• Produce and maintain Excel spreadsheets as required.
• First point of contact for the team, dealing with queries and acting on initiative to provide exceptional client service, promoting and developing ownership within the teams.
• Arrange for the preparation and collation of internal sector newsletters and briefings.
• Arrange photocopying, printing, organising couriers, sending out letters, faxes etc.
• Receiving instructions via digital dictation for tasks and acting upon the same.

About Us
The Traffic Operations Team is key to ensuring the smooth operation of the Highway network in Surrey. The team is responsible for the Design, refurbishment, operation and maintenance of over 850 Traffic Signals, CCTV cameras and other roadside intelligent systems, whilst also assisting in the management and operation of incidents and planned events that take part on the road network in Surrey.

About your Apprenticeship
We want this apprenticeship to be an opportunity for you to gain experience across a wide range of duties putting you in the best position to succeed in your apprenticeship qualification and take the first steps on your career journey! In this role, you will:

• Work as a part of a wider technical team
• Be part of the team delivering the £3m per annum refurbishment programme
• Be introduced to the systems used to develop, design and manage schemes, this will include training in specialist software packages including Autocad

This position offers the opportunity to develop technical skills in the world of Intelligent Transport Systems. After a period of suitable training, you will be required to attend site visits, contractor meetings, on-site commissioning, whilst developing the skills to eventually undertake the project management of your own signal refurbishment schemes. You will also be required to work with other areas within the team, to develop an understand of intelligent systems design and maintenance.

We won't be expecting you to jump in and be able to do this all from day one. You'll first go through an induction period allowing you to get used to the office and the team. As you progress through your course, you'll have 1 day per week to solely focus on your apprenticeship work.

As your qualification comes to an end and you begin to turn your eye to the future, we have a fantastic support programme in place that will put you in the best position to take the next step on your exciting career journey. Job Overview

-To protect our customer's property, people and/or assets by providing security services in direct accordance with the sites published Assignment Instructions (AI's) and any subsequent changes.

-Delivering results that meet and / or exceed the Key performance indicators / Service Level Agreement for the customer through full responsibility and accountability, providing a service that aids in the retention of the contract.

Main Duties

Operations

-To be aware of and ensure compliance with all aspects of policies and relevant legal and regulatory requirements as directed by the Security Account Manager and in accordance with UK Law and Guidance bodies.

-Fully and satisfactorily complete all of the tasks and duties on site as defined within the published Assignment Instructions (AI's).

-Proactively refer to and review the published Assignment Instructions, thus familiarising oneself with any changes in order to suggest additional amendments that will improve or enhance the current level of service.

-To be compliant with Industry and Statutory Legislation (you are required to obtain a front-line licence in either Security Guarding or Door Supervision), which must be worn at all times whilst carrying out your duties. The Customer also requires a CCTV PSS SIA Licence. There are also additional courses that are contractually required.

-Comply with legal obligations and safety requirements of the role.

-Follow instructions and procedures appropriately without unnecessarily challenging authority.

-Work in a systematic, methodology and orderly way.

Training

-Fully and satisfactorily complete all required competency training.

-To undertake additional training to ensure continuous self-development as directed by the Security Account Manager.

-Use technology to achieve key work objectives and develop job knowledge and expertise through continual professional development.

-You are required to ensure you renew your licence 16 weeks before expiry.

Security and Health & Safety

-Look out for, and to immediately report, any Health & Safety hazards, or potential hazards, on site.

-Stay alert to any threats or changes within the work environment in order to take the appropriate action to reduce the chance of disruption, loss or damage.

-Use common sense and initiative by immediately involving others if a situation appears to become threatening.

-To maintain professional conduct in the face of difficult situations and challenging customers.

-Complete an accurate, detailed notebook entry as soon as possible after any incident, which can then be used as part of the Incident Report process.

-Keep to schedules and demonstrate commitment to Mitie and the Client.

-To ensure check calls are being carried out at the allocated time slot as stipulated in the Assignment Instructions (AI's).

-To call emergency services and Communication Centre to report all incidents.

A well-established Law firm based in Guildford is seeking an experienced Legal Support Assistant to support with a team of Fee Earners in relation to Probate as well as supporting with Property and other areas as and when required.

Working in a small, yet friendly team, you will be responsible for supporting the Fee Earners with the following duties:

• Audio and copy typing
• Diary management
• Email management
• Database management
• Filing, photocopying, scanning
• Daily banking/postal duties
• Reception - meet and greet
• Completing HMRC Inheritance Tax forms
• Drafting Oaths and other documents relating to Probate applications
• Making applications for Grants of Probate
• Drafting client correspondence
• Dealing with Land Registry Services, OCE's, Leases, Priority searches, bankruptcy searches
• LMS administration and renewal
• Speaking with clients and other parties relating to specific matters

• Proven experience of managing client facing tasks and priorities, with a hands on, practical approach

A leading Professional Services firm based in Manchester is currently recruiting for an experienced Legal Support Assistant /PA.

You will be working as a team to act as a point of contact for fee earners and the completion of their work, the role with undertake all aspects of the Legal Support Assistant role, and where appropriate, manage the workflow by utilising Administrative Assistants and Document Production, retaining ownership and accountability of all tasks through to completion. Provide a high quality, comprehensive workflow management and organisational service to fee earners in the group and exceptional client service

Duties:

• Manage the production of documents and check returned work produced by the Document Production team
• Taking and making client related calls, dealing with and handling message taking as appropriate.
• Manage Interaction and ensure new prospects, clients and contacts, activities and business development information are added.
• Responsible for keeping up to date with client specific protocols and processes, implementing, providing guidance and training to others where necessary and ongoing monitoring.
• Support fee earners in business development activities including the involvement in preparation of pitches and presentations, scheduling meetings e.g. tenders, directories, internal clients.
• Manage diaries, ensuring they are up-to date, anticipating requirements e.g. associated travel /accommodation bookings, meeting rooms, drafting itineraries, preparing agendas, preparing and circulating papers.
• Produce and maintain Excel spreadsheets as required.
• First point of contact for the team, dealing with queries and acting on initiative to provide exceptional client service, promoting and developing ownership within the teams.
• Arrange for the preparation and collation of internal sector newsletters and briefings.
• Arrange photocopying, printing, organising couriers, sending out letters, faxes etc.
• Receiving instructions via digital dictation for tasks and acting upon the same.
• Key point of contact for fee earners and clients to maintain relationships and ensure a high level of support is always provided by the team.
• Assisting fee earners with billing related tasks.
• Minute taking, following up designated actions to ensure completion ahead of the next meeting.
