A leading Professional Services firm based in Guildford is currently recruiting for an experienced Legal PA with experience in Residential Property. The purpose of this role is to provide direct support to the fee earners.

Key duties:

• Handle and manage transaction compeltions, with assistance from fee earners
• Prepare completion statements and address any outstanding financial queries post-completion.
• Handle all post-completion tasks, including timely filing, submission and lodging of documents with Companies House, HM Land Registry and/or other third parties, as appropriate
• Communicate with clients, third party solicitors and other relevant parties to provide updates on progress of matters, address any questions or concerns they may have and in respect of all necessary post-completion actions.
• Ensure all post-completion activities comply with relevant regulations and legal standards, including Anti-Money Laundering (AML) requirements and data protection laws.
• Prepare correspondence and documents to include transcribing digital dictation.
• Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
• Arrange for all copying to be done, in person if an office assistant is not available to undertake the task.
• Make appointments, arrange meetings and to maintain an up to date diary for his/her principal(s).
• Provide support to other secretaries as required, including guidance to junior and temporary secretaries when required to do so.
• Progess client matters without fee earner supervision and in the absence of a fee earner.
• Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm's standards for client care.

Requirements

• Previous Legal Secretarial experience
• Experience in Post Completions
• Prior experience with Companies House and Land Registry applications/Portal processes
• Advanced IT skills
• Excellent (speed) typing skills

** Legal Support Assistant - Probate **

IMMEDIATE START AND INTERVIEWS

• This will be an office-based role
• Based in Guildford, Surrey

A well-established Law firm based in Guildford is seeking an experienced Legal Support Assistant to support with a team of Fee Earners in relation to Probate as well as supporting with Property and other areas as and when required.

Working in a small, yet friendly team, you will be responsible for supporting the Fee Earners with the following duties:

• Audio and copy typing
• Diary management
• Email management
• Database management
• Filing, photocopying, scanning
• Daily banking/postal duties
• Reception - meet and greet
• Completing HMRC Inheritance Tax forms
• Drafting Oaths and other documents relating to Probate applications
• Making applications for Grants of Probate
• Drafting client correspondence
• Dealing with Land Registry Services, OCE's, Leases, Priority searches, bankruptcy searches
• LMS administration and renewal
• Speaking with clients and other parties relating to specific matters

Requirements:

• Proven experience of managing client facing tasks and priorities, with a hands on, practical approach
• Effective at investigating issues and seeing a problem through to conclusion
• Conscientious, taking personal responsibility for own work and accountability for its delivery and quality
• Excellent team player, sharing in team goals to provide excellent quality and efficiency of service, with a willingness to take on new responsibilities and challenges
• Positive can-do attitude with the ability to adapt to change
• Confidential and discreet but able to redirect information when appropriate to ensure areas of concern are resolved effectively
• Well organised and methodical with excellent attention to detail, ensuring accuracy in all client communications and deliverables
