The incumbent will be based in one of the Public Health Institutions.
Key Responsibilities:
- Intranet Site Management: Oversee cluster procurement’s SharePoint site, maintaining a single source for policies, documents, and templates, ensuring version control and security.
- Forms & Templates: Design, update, and manage procurement forms and templates, collaborating with stakeholders for alignment.
- Support & Troubleshooting: Provide technical support for forms/templates and implement improvements as needed.
- Contact Us Page Management: Address inquiries, concerns, and feedback from users on the procurement contact page.
- Procurement e-Learning: Manage e-learning content, including uploading and organizing materials, and supporting user queries for a positive learning experience.
- Authorized User Quiz Management: Maintain the procurement quiz for authorized users, ensuring completion and conflict-of-interest declarations before updating user access.
- Contract Management System (CMS): Administer CMS, including bi-annual access checks, new user/vendor access setup, and training.
- User Support for CMS: Provide ongoing CMS support, answering user questions and resolving issues.
- Procurement Tracker Management: Consolidate and maintain bi-weekly procurement tracker, monitor data quality, and alert stakeholders on project timelines.
- Ad hoc Projects & Education: Participate in process streamlining and design educational EDMs on procurement topics for user engagement.
Requirements:
- Bachelor's Degree in Business, Supply Chain Management or Logistics
- Strong analytical and strategic thinking skills to analyse data and develop procurement plans
- Knowledge of governance and compliance and the development/implementation of procurement policies and procedures
- Effective communication and negotiation skills - strong verbal and written communication skills, proficient in drafting clear and concise policies and reports
- Proficiency in Excel including data management, formulas and functions, charts and graphs, pivot tables, data analysis etc
- Strong organizational skills to manage tasks and prioritize work
