This is an exciting challenge for an experienced Workshop Controller who can confidently demonstrate their suitability for the role. You will possess excellent Man Management skills, be driven and focused. Your main objective as Workshop Controller will be to supervise the Technicians and Administration staff accordingly in a very busy workshop.

You will be tasked with supervising a team of Technicians to make sure the work is done to a high standard while at a reasonable rate. It will be your job as Workshop Controller to make sure the vehicles go through the workshop in a seamless manner whilst liaising with the Service Advisors who can then keep the customers fully up to date.

This is a vital role to make sure the Technicians keep on their toes, prioritising work and ensuring that all the work is completed to manufacturer standard. The role will be busy so we need someone who isn't scared of working closely with the team and building a strong process.

Role Purpose:

The purpose of the role of Administration Team Leader is to operationally manage the team members of the Alarm Response Centre (ARC)'s Administration team, to enable the best level of service to our customers. Our client base of circa 72000 people nationwide generally consists of the elderly and vulnerable, who press their alarms in the event of an emergency. An Administration Team Leader will have 20 or so direct reports, consisting of Administration Assistants, line managing them directly. However, the Administration Team Leader is part of a wider management team who are responsible for the operational running of the centre.
The Administration team is responsible for the maintenance of our client data, conducting surveys, receiving inbound calls from housing managers and engineers, managing equipment maintenance (e.g., ordering replacement equipment for devices on low battery) and investigating exceptional calls. As an Administration Team Leader, we are first and foremost looking for a People Manager who can motivate and support a hybrid team, and manage the day to day running of the sub-department.

• Previous leadership experience within a contact centre environment.
• Strong customer service background.
• Caring and nurturing nature.
• Flexible and resilient attitude.
• Be ready to support, train, monitor, and make sure the team works towards business and customer care.

Your new role:

• Organising and preparing agendas, minutes, and documentation for board meetings and general meetings.
• Maintaining records of board discussions and decisions and ensuring follow-up on actions decided during meetings.
• Managing corporate documents, contracts, and ensuring their safekeeping.
• Facilitate effective communication with the board and between the board and management, ensuring that directors have access to relevant information.

What you'll need to succeed:
The Corporate Operations Team requires the support of a Corporate Secretariat Officer to provide Board support and administration.

• Excellent written communication skills to draft clear and concise minutes, agendas, and correspondence.
• Effective verbal communication skills for liaising with board members, executives, and stakeholders, ensuring clarity and professionalism.
• The ability to plan, organise, and coordinate board meetings, ensuring all required materials and information are available and prepared in advance.
• Meticulous in recording accurate and comprehensive minutes, ensuring that all key decisions, discussions, and actions are documented correctly.
• Ability to manage time effectively, ensuring that agendas are prepared well in advance, meetings run on time, and minutes are distributed promptly after meetings.
• The ability to anticipate potential issues and find solutions to ensure meetings run smoothly (e.g., managing changes in schedule or preparing additional documents on short notice).
• Being proactive in addressing questions or challenges that arise before, during, or after meetings.
• Building positive working relationships with board members, executives, and other stakeholders.
• The ability to diplomatically manage different personalities and viewpoints, ensuring a professional and productive meeting environment.
